The Opportunity

We are looking for a full time Administrative Assistant to join our fast-paced scaling start-up business. The Administrative Assistant will report to the Executive Team and will support in an administrative capacity, demonstrating a high degree of professionalism, initiative and independence in supporting the Executive team on a wide variety of administrative tasks. The Administrative Assistant will interact with all executive team members and external stakeholders and will work to provide detailed and accurate information, and deliver the utmost service with tact, both internally and externally. This is a remote work opportunity, with occasional in person meetings and support as required.

General Responsibilities

· Coordinate with internal and external parties to organize meetings, calls and conferences

· Booking on-site meeting rooms and/or virtual meetings and greeting guests when applicable

· Responsible for calendar management, meeting scheduling/coordination, compilation of reports, preparing presentations and appropriate materials for meetings

· Prioritizing the Executive’s daily activities and adjusting as required, providing briefings, preparing correspondence, arranging teleconference calls

· Plan and book travel arrangements for the Executive team

· Prepare expense claims for the Executive team and process other departmental expenses as required

· Assist in planning and organizing on-site and off-site team events, such as strategy sessions, team building lunches/events and social events

· Manage and maintain files and confidential records

· Prepare and assist in the creation or revision of documentation and correspondence, presentation and reports and gather background materials

· Work collaboratively with executives and the team

· Perform ongoing administrative tasks (answering the phone, emails, drafting correspondences and filing)

· Respond to and resolve general and confidential inquiries, working closely with other internal departments, as well as external contacts

· Manage daily phone calls, voice mail and email inquiries, prioritizing and responding to all requests in a professional, customer focused and confidential manner

· Other ad-hoc duties and projects as required

Qualifications:

· Working towards completing Administrative Certificate or Diploma

· Minimum 2 years’ experience in a professional administrative capacity

· High standards of ethic and confidentiality to handle sensitive information

· Excellent computer skills

· High attention to detail in all areas of work

· Excellent problem-solving skills and an ability to work in a team environment

· Excellent organizational, administrative, time management and prioritizing skills

· Excellent interpersonal, written and oral communication skills

· Ability to exercise good judgement, show initiative and be proactive

· Highly adaptable, flexible professional who embraces teamwork, and can work independently
