Reporting to the Unit Manager for Tertiary Neuro Rehab, under minimal supervision, the Administrative Support IV is a member of an integrated team, performing multiple clerical duties for the entire neuro rehab department. The Admin IV is primarily responsible for the end-to-end process of quality assurance by managing data in the system across multiple systems internal and external to the organization, which includes forms management, information management, quality assurance and data reporting. The incumbent is responsible for gathering, compiling, entering and formatting data, generating statistics, managing schedules, referral management, and preparing reports. The incumbent will be required to use initiative and independent judgment while providing direct organizational, administrative, and data support. Daily work activities are varied and diverse and will involve communication and collaboration with a multidisciplinary team to organize/maintain complex data completion and achieve objectives while under pressure to handle multiple tasks, changing priorities and sometimes short deadlines. This position involves working within an interdisciplinary team, including regular communication with patients, families, managers, allied health, nursing staff, physicians and other stakeholders/community partners internal and external to the organization. As an Administrative Support IV, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Required Qualifications:
Completion of post-secondary education (e.g. course(s) in business administration, medical office assistant), or other related fields.
Additional Required Qualifications:
Completion of an Administrative Professional diploma or equivalent with experience in a health care environment is required. Advanced/intermediate knowledge of computer technology and applications is required. These include but are not limited to: Microsoft Office Programs (Word, Access, Excel, Outlook, Visio, PowerPoint, and OneNote), and video conferencing software (Microsoft Teams, Zoom). At least 3 years of experience in a healthcare setting is required. Experience working with Connect Care, and Sunrise Clinical Manager is required. Excellent verbal and written communication skills are required. Must be able to work well with others (i.e., a team player) and communicate clearly with patients, families, physicians and staff. Proven ability to work efficiently and accurately. Must be able to work at a rapid pace while keeping a high level of attention to detail and maintaining a high quality of work. Proven ability to handle multiple demands, work under pressure and manage competing and frequently changing priorities within required deadlines. Proven ability to demonstrate initiative, problem-solving, conflict resolution and time management skills. Able to request/accept verbal or written direction. Physical abilities: prolonged sitting, prolonged standing, repetitive movements are involved in day-to-day work activities, and the ability to lift or move up to 10 lbs.
Preferred Qualifications:
Completion of a Health Information Management course is preferred. Experience in data entry and reporting in a health care setting is preferred. Intermediate experience with survey development using survey software is an asset. Previous experience with leading staff education is preferred. Demonstrated self-improvement or continuing education in a related field is preferred.
