We are a digital advertising agency based in Ottawa with a solid client base. We are looking for the perfect person to fill the shoes of our office administrator, who is leaving to take on new challenges in the next few weeks.
If you love to keep people and systems organized, you are not afraid of technology, and you can be trusted with confidential information, you may be that person. Perhaps you are a stay-at-home mom who wants flexible work, or you have retired from a professional career and are looking for extra income or more structure to your days.
Finding the right profile and skillset is more important to us than experience in a similar role. Reporting to the managing partner, our new admin assistant will benefit from ongoing training support and structured feedback.
Hours per Week: 10-15
What we can’t do without
- A natural love of systems and organization
- Good with numbers
- Very comfortable with Google Office Tools and technology in general
- Attention to detail
- 5 years of experience in an office environment
- Resourcefulness
- Doesn’t mind picking up a phone to solve a problem
- Understanding of bookkeeping basics
- Post Secondary education
- Lives in Canada
- Can work up 10-15 hours per week during Ottawa office hours
Really nice to have
- Experience with Quickbooks online
- Excellent English writing skills
- Degree in Accounting or Business Administration
- Experience as an admin assistant
The Role
- Assist in monthly invoicing prep
- Process customer invoice payments
- Send customer statements
- Assist clients with invoicing questions
- Collect HR information for bi-weekly payroll
- Maintain vacation and sick day records
- Support our accountant as required
- Perform various tasks as assigned
