Overview:
Reporting to a Western Canada HR Manager, the HR Coordinator works closely with all members of the HR team in support of key HR issues, projects and objectives. The HR Coordinator helps to administer all aspects of HR activities.
Responsibilities:
Health, Safety & Environment
- Demonstrates a commitment to a safe work environment.
- Understands the safety objectives of the organization and supports these efforts in a visible manner.
- Writes wellness stories for the Dispatch as required or requested.
HR Support for Operations
- Supports the field managers with day to day transactional HR related issues and questions. Serves as the primary point of contact between the field and the HR Service Center for dissemination of information to and from the business.
- Responsible for administration and processing of employee lifecycle events
- Responds to inquiries regarding policies, procedures and programs.
- Investigates and responds to employee questions or issues related to pay, benefits and training.
- Administers the Service Rewards program, maintains and reviews the list of eligible recipients in each market area.
- Conducts monthly and quarterly reporting to support business objectives and the HR dashboard.
- Works with the Americas Business Services (ABS) group to identify and implement processes necessary to eliminate duplication of work and reduce overall administrative burden.
- Assists HR Managers as required with new hires ensuring the necessary documentation is complete before onboarding
- Assists HR and corporate office with onboarding as required.
- Organizes the annual updating of onboarding materials to ensure information is accurate and relevant.
- Assists with the global Lafarge Social Responsibility Report
- Helps to maintain the shared HR Drive and ensures that content is current, relevant and organized.
- Drafts and posts internal employees communications to The Dispatch
- Manages and process invoices
- Conducts exit interviews and assists with offboarding
- Other duties as assigned.
HR Information Systems
- Manages DocDNA (uploading information).
- Serves as an SAP and Successfactors expert for the WCAN division providing training and backup as required for HR and line managers.
- Reviews/audits employee records within SAP and Successfactors for accuracy, data integrity and legal compliance making changes as/when required.
- Manages positions within SAP and Successfactors to ensure that roles are set up correctly for new hires and/or transfers. Coordinate with MyLife help desk to ensure that supervisory organizations are set up when needed.
- Assist HRMs with employee maintenance actions when needed.
- Creates ad hoc reports as required.
Projects
- Provides support (research, reports, business cases, information investigation) to HR issues, projects, initiatives and goals as required.
- Coordinates and completes annual surveys, external awards, and employer recognition applications (i.e. Canada Top 100 Employers).
- Acts as the internal control and tester for HR system changes.
Relationships with Other Jobs
- High level of interaction with Western Canada HR Managers, Learning & Development, Labour Relations and Talent Acquisition
- Some interaction with Business Line Managers.
- Strong interaction and collaboration with Americas Business Services employees
Qualifications:
Education and Work Experience:
- Bachelor degree in Business or Administration.
- 2-5 years of administrative experience supporting a large team
Knowledge and Skills:
- Demonstrated administrative and organizational skills with a high degree of thoroughness, accuracy and confidentiality.
- Computer and systems savvy, experience working with data administration and ERP systems
- Strong computer skills with proficiency in use of Microsoft Office Excel, PowerPoint, Word, Google Suite, and other applications.
- Ability to multi-task.
- Strong verbal and written communication skills.
