Alberta Veterinary Technologist Association Looking for Event and Member Services Administrator at Edmonton, AB Full Time

The Alberta Veterinary Technologist Association (ABVTA) is seeking an experienced program administrator to build and provide support to the ABVTA’s member services and programs. Our ideal candidate is a highly organized, team player who takes initiative and is self-motivated. They are passionate and committed to supporting veterinary technologists through facilitating events and services and providing general administrative support to the organization.

Job Overview:

Reporting to the Executive Director, the main responsibility of the Event and Member Services Administrator is to work with volunteers to plan, organize and manage events and services for members. This may include tasks such as coordinating event logistics, managing vendor relationships, creating event marketing materials, and responding to member inquiries.

In addition to event and member services duties, the Administrator will also be responsible for providing general administrative support. This may include answering phones, managing the general email inbox, website maintenance, and completing other administrative tasks as needed.

To succeed in this role, the Administrator will have excellent communication skills, attention to detail and the ability to manage multiple tasks simultaneously while working from a virtual office. Experience in event planning, volunteer coordination, customer service and proficiency in Microsoft Office is beneficial.

The Event and Project Administrator will be responsible for a variety of areas including:

Events

• Work with the Executive Director and volunteers to coordinate logistics for events (virtual and in-person), including venue selection, vendor management, and rentals.
• Manage volunteers for events and projects.
• Evaluate the success of events and projects and provide recommendations to management for improvement.
• Coordinate the delivery of events.
• Attend volunteer committee meetings with the Executive Director.
• Assist the Executive Director to set-up the ABVTA booth for veterinary industry events.
• Assist the Executive Director planning the ABVTA Annual General Meeting.

Communications

• Create and distribute promotional materials for events and projects though the association’s communication networks.
• Collaborate with staff and partners to ensure event and project content and messaging aligns with the organization’s mission and values.
• Maintain and update social media platforms and website.
• Oversee brand standards.
• Create marketing graphics.
• Create digital and print advertising.
• Coordinate messaging for industry events.

Administrative

• Oversee incoming and outgoing communications, including emails, phone calls, reports and member communications.
• Compile and edit meeting minutes.
• Manage volunteer scheduling for ABVTA events in conjunction with the Executive Director
• Assist and support the Executive Director with scheduling and other administrative duties as needed.
• Maintaining a high degree of discretion and confidentiality

Qualifications:

• Experience in event planning and project management, preferably in a non-profit setting
• Applicants must have excellent verbal and written communications skills, be organized and are able to manage their time to deliver high-value and quality programming for the public, stakeholders and ABVTA members
• Candidates must be detail-oriented and must enjoy working collaboratively as part of a team
• Applicants must be highly self-motivated and will be responsible for products and deliverables that require working independently
• Education and experience or a combination thereof in marketing, public relations, communications and administrative work is an asset but not required
• Experience in animal health, veterinary or related industry is preferred but not required

Skills and Experience:

• Excellent time management skills
• Experience with Microsoft Office (Word, Power Point, Excel), Adobe Acrobat, and Canva
• Comfort in using virtual meeting platforms including Zoom and Microsoft Teams
• Flexibility, team-oriented with a positive attitude and goal-oriented
• Creative vision, highly organized with excellent written and communication skills
• Ability to work remotely and independently with minimal direction
• Critical thinking, multitasking, and ability to meet deadlines with minimal supervision
• Interest in reporting and measuring the success of campaigns and communications
• Some overnight travel may be required

Education

• AHT/VT diploma or similar is recommended but not required or a relevant two-year post-secondary diploma in business/administration or related experience
• Experience in the veterinary industry or other health care environment is an asset

Work Conditions and Expectations

• This is a part-time role requiring approximately 15-20 hours per week
• This position requires a combination work of on-site (in-person events) and remote work and requires the use of a home office
• This flexible position has the ability to create their own work schedule under the discretion of the Executive Director
• Ability to attend meetings and events in the evening and some weekends is required
