Project 10 Productions Inc. Looking for Administrative Assistant at Toronto, ON Full Time

Project 10 Productions Inc. was established in 2009, focusing on commitment to building long term talent relationships in the development and creation of original content. We specialize in production and creative services and have a proven track record of generating world class episodic television for the global market.

In 2021, Project 10 produced three series, including: the third season of the hit comedy JANN co-created by and starring Canadian icon Jann Arden for CTV (22 x ½ hour); the revival of The Kids in the Hall for Amazon Prime in partnership with Lorne Michaels’ Broadway Video; and the first season of the now hit comedy, Son of a Critch, based on the life and memoir of Mark Critch for CBC (13 x ½ hour). The premiere of Son of a Critch on CBC garnered nearly a million combined viewers and was the most successful launch of a series on the network in over five years. Other recent production credits include the CSA Award-Winning digital variety special We’re Funny That Way for CBC Gem, the 15 x ½ hour Family Channel series My Perfect Landing, the digital series Tom Green’s Snow Jam for CBC Comedy, the 26 x ½ hour comedy Spun Out for CTV, the 6 x ½ hour doc series, Sports On Fire for TMN and Movie Central and the award-winning feature documentary, Spirit Unforgettable for HBO Canada.

As a small but growing team headquartered in Toronto, we are currently seeking an amazing full-time, permanent Administrative Assistant.

Summary:

The Administrative Assistant will provide a full range of executive support to this small but mighty team, including the CEO, COO, Associate Producer and Development Director. The selected candidate will be expected to have an extremely professional attitude, the ability to manage the schedules and calendars of multiple executives at one time, strong attention to the small details that matter, and the ability to proactively work independently.

This is a hybrid role in office 3 days per week and working from home 2 days per week.

Responsibilities:

Administrative Support (60%)

• Manage a broad variety of administrative support to the Chief Executive Officer, Chief Operating Officer, Development Director and Manager, Business Affairs & Operations
• Support the team’s goal to provide the best Canadian television content by demonstrating the utmost integrity and professionalism as the main point of contact for high profile clients, producers, creators and investors
• Provide sophisticated calendar management by prioritizing inquiries and requests, making judgements and recommendations to ensure best use of the team’s time
• Prioritize conflicting needs with proactivity and professionalism
• Prepare meeting agendas, take detailed meeting minutes and follow up with meeting attendees
• Draft professional communications and correspondences when required
• Coordinate domestic and international travel arrangements, hotels and itineraries, ensuring identifying best available options for travel
• Plan and coordinate for onsite and offsite meetings, meeting rooms, special functions and events including logistics such as location, meals, technology, communication, materials and RSVPs

Office Operations (30%)

• Act as the main point of contact with the building landlord/superintendent and ensure building issues are documented and followed up on
• Perform office duties as requested, including ordering catering, mail distribution, greeting guests, etc.
• Lead in office organization activities as needed, such as office logistics, furniture set up, building access, etc.
• Proactively resolve any issues in a professional and calm manner

General Bookkeeping (10%)

• Maintain monthly bookkeeping by reconciling, filing and uploading the necessary spreadsheets to QuickBooks
• Complete and process expense reports, invoice approvals and any other delegated processes using Expensify
• Track and maintain departmental budgets
• Perform office duties as requested, including ordering catering, mail distribution, greeting guests, etc.
• Proactively resolve any issues in a professional and calm manner

Qualifications

• Minimum of 2 to 3 years related executive or strong administrative experience in a fast-paced, high profile environment
• Proven ability to demonstrate proactively and professionally multiple executives at one time (minimum 3)
• 1-2 years’ experience bookkeeping, ideally using QuickBooks
• Values great client service, with the ability to demonstrate pride in being the “face” of the organization as the first point of contact for external clients/producers/etc.
• Ability to work independently, and proactively problem solve
• Strong proficiency of computers and various software application packages (e.g. Word, Excel, PowerPoint, Google Apps, Photoshop, etc.)
• Strong attention to detail in document management, correspondence, database management
• Strong analytics, problem-solving, judgment and prioritization skills to determine purpose and urgency of issues ensuring confidentiality of issues
• Creativity to produce attractive and effective documents;
• Excellent time-management skills and the ability to prioritize and ensure completion of work.
