THE ROLE
- Coordinate all stakeholder school transportation requirements including daily bus routes, as well as charters for athletics bookings, taxis, rentals, and school vans/vehicles for activities and special events while collaborating with key departments to ensure efficient and effective busing and fleet support for school programs and timely response to transportation issues
- Adjust daily bus routes based on student registration, schedule constraints and budget as approved by Chief Financial Officer and Director, Administration & Risk Management
- Act as the first point of contact regarding busing information and ensure all registrations are received each cycle
- Liaise with busing and vehicle leasing companies and other providers to ensure effective and efficient support of Appleby requirements, including bus driver selection and orientation and route changes
- Respond to busing and charter emergencies and/or delays in a timely manner to ensure that all students are provided safe transport and report the information back to the Director of Administration and Risk Management.
- Prepare student billings in coordination with the Business Office.
- Work with the Facilities Coordinator to ensure vans are maintained and serviced and provide input on each vehicle leasing rollover.
- Conduct periodic checks for the maintenance and cleanliness of these vehicles
- Liaise with the travel agency ensuring exceptional customer service while providing guidance and advice to employees as well as responding to all travel-related inquiries
- Provide regular office services back-up as required
- Provide other support duties as needed
WHAT YOU BRING
- Post-secondary education in a related discipline is preferred
- Previous experience in transportation or logistics
- Previous administrative work experience
- Flexible, pleasant, and patient personality – tact, and the ability to maintain confidentiality when appropriate.
- Excellent written, verbal, and interpersonal skills
- Proficiency in computer software programs including MS Office applications (Excel, Words and PowerPoint) Route Management Software and GPS software
- Inherent ability to work dynamically and proactively in a team-based environment, naturally considerate and helpful
- High level of professionalism and public relations skillset required utilizing an extremely courteous approach to students, employees, visitors, and parents
- Communicate professionally and with tact, maintaining confidentiality where appropriate
- Strong multi-tasking abilities, trouble-shooting skills, and the ability to perform calmly under pressure in accordance with daily challenges
