Reporting to the Manager, Projects, your position will perform a wide range of responsibilities varying in nature and urgency while providing organizational support in many areas.

A day in the life:

• Manage deadlines and ensure appropriate communication is provided (to relevant parties) when schedule conflicts arise.
• Effectively plan work schedule to balance peak and slack periods. Prepare for the unexpected.
• Be accountable, committed, and dependable when it comes to achieving the best possible results.
• Use appropriate tools and templates to help maintain assigned reports and/or spreadsheets.
• Use appropriate tools and systems when sending or receiving vendor and engineering documents. Ensure all drawings, manuals, and transmittals are accurately logged.
• Ensures that all documents are properly submitted to all relevant stakeholders in compliance with contractual requirements and using mandated file transfer protocol tools (FTP) or document management system (DMS).
• Assists in the preparation of project turnover materials to complete Project Closeouts.
• Take initiative and display a strong drive for achievement.
• Assist the team in clearly establishing goals and objectives.
• Actively promote cross-functional communication.
• Develop a clear understanding of the team’s purpose, objectives, as well as procedures. Work towards improving functional knowledge of requirements.
• Ensure all assigned work/projects are completed to a high standard.
• Assisting Project Manager with all aspects of Project Management and Construction Management activities as required.
• Competent understanding of Company/Client procedures.
• Minute taking during weekly Project Reviews or other meetings as required.
• Ad hoc typing or spreadsheet creation/maintenance for project teams.
• Liaise with other departments to obtain information as required (Project Controls, Cost, Regulatory, etc.)
• Assist with scheduling, follow up with the team on any upcoming or overdue items and assist where possible.
• Actively participate in team meetings and be proactive in suggesting efficiencies in processes.
• Assisting other members of the administrative department when required based on workload – schedule permitting.
• Work closely with the proposal technical leads to develop a proposal planning document, draft the standard sections of the proposal, incorporate different content, facilitate revisions, and perform quality control of the final document.
• Coordinating all aspects of creating a proposal while ensuring deadlines are respected.
• Following up on proposals until results are received, initiating the post-mortem process and creating the project sheet, if necessary.
• Helping to manage, monitor, and maintain proposal databases, files, and systems using the appropriate information management systems.
• Manage deadlines and ensure appropriate communication is provided (to relevant parties) when schedule conflicts arise.
• Actively promote cross-functional communication.

We’d love to hear from you if you have…

• Degree, diploma, or certificate in administration or other applicable area
• 3+ years previous administrative experience
• Preference for candidates who have worked for engineering consulting or professional service firms.
• Excellent communication skills.
• A motivated, flexible team member who shows initiative to go beyond the task at hand, an effective multitasker who can cope with changing priorities in a demanding, deadline-oriented environment.
• Strong writing skills, with attention to detail and the ability to review and revise documents, as well as the ability to understand technical terminology.
• Ability to organize, present, and validate financial offers.
• Understanding of legal/commercial terminology.
• Strong IT skills: SharePoint, Bluebeam and BIM 360 experience an asset.
• Highly proficient in MS Office including training with vendor and database software.
• Ability to work within a team that is spread throughout Canada with the aim of achieving common goals and objectives.
• Ability to adapt to a flexible work environment and to a work schedule that covers different time zones.
