Manager, Finance and Operations

The Canada-Ukraine Foundation was formed to coordinate, develop and deliver assistance projects generated by Canadians and directed toward Ukraine. Established as a national charitable foundation that would coordinate with Canadian organizations that have projects in Ukraine, as well as other projects in Ukraine, CUF has delivered and supported projects and programs including, but not limited to, the areas of healthcare, education and civil society.

CUF is looking to fill the role of Manager, Finance and Operations, who has the energy, enthusiasm, and experience to be the right fit to work with our Executive Committee in order to fulfill our Vision and Mission.

This role implements the vision and mandate of CUF providing leadership in identifying priorities and objectives, directing staff, supporting Board and Committees and ensuring CUF’s financial and organizational viability. This position is responsible for the successful leadership and management of the organization according to the strategic direction set by CUF’s Board of Directors.

DUTIES AND RESPONSABILITIES

    Financial and Risk Planning & Management:

  • Ensure appropriate financial management of the organization’s budget, including appropriate bookkeeping and accounting procedures are followed;
  • Ensure appropriate and timely reporting to the Board and to funding and stakeholder organizations;
  • Work with the Board to prepare, manage and execute a comprehensive annual budget;
  • Approve expenditures within the authority delegated by the Board;
  • Ensure CUF’s files and records are appropriately safeguarded and managed;
  • Identify and evaluate the risks to CUF (e.g., impact to clients, staff, management and volunteers) with respect to property, finances, goodwill, image and reputation. Implement measures to mitigate and control risks.

    Operations

  • Oversee the efficient and effective day-to-day operations of CUF employing Board-approved policies and procedures;
  • Identify and implement procedures to streamline operations for improved efficiency and effectiveness
  • Establish a positive, healthy and safe work environment in accordance with all relevant legislation;
  • Facilitate effective Board meetings by preparing office reports, compiling meeting agendas, proposing topics for discussion/review, and ensuring appropriate follow-up;
  • Support the work of task groups and Board Committees;

    Human Resources Management

  • Manage staff and volunteers using human resources policies, procedures and practices including hiring, orientation, training, evaluations and/or performance reviews, discipline, and termination when necessary, and update and maintain current job descriptions for all staff and volunteers;
  • Coach and mentor staff as appropriate to improve performance based on key performance indicators;
  • Plan for future staffing requirements and determine the experience, skills and personnel qualities needed to effectively deliver programs and services;
  • Consult with the Board on an on-going basis and as needed regarding human resources plans and staffing activities.

QUALIFICATIONS AND EXPERIENCE

  • Relevant post-secondary degree;
  • Progressive management experience in a Canadian Not-for-Profit organization;
  • Exceptional organizational skills with an emphasis on prioritizing and maintaining accuracy;
  • Demonstrated understanding of Canadian Charity Governance, outcome measurement, evaluation and best practices;
  • Experience with project management and utilizing project management tools. Managing international projects is an asset;
  • Proficiency in the use of computers, video technology and personal technology (including Microsoft programs, smart phones, printers etc.);
  • Oral and written fluency in English is required;
  • Ukrainian language skills are an additional asset
