Job Description
The Medical Assessment Administrator, Mental Health & Functional Rehabilitation (MAA), is a key member of Vector Medical’s Clinical Team. The MAA is responsible for assisting Assessment Coordinators in administering the following types of rehabilitation-focused Medical and Allied Health Professional Assessments (Assessments) from beginning to end:
- Psychology
- Functional Capacity / Abilities Evaluations
- Neuropsychology
- Psychiatry
- Addiction Medicine
- Addiction Psychiatry
- Pain Medicine
- Other Assessment Types, as necessary
The MAA reports to the Assessment Coordinator Team Lead and is responsible for assisting the Assessment Coordination Team in meeting Client KPIs by providing efficient and effective service on the following tasks:
- Gathering and organizing Participant medical files and referral documents for Assessors
- Setting up telemedicine and in-person Assessment appointments for both Participants and Assessors
- Assisting Participants and Assessors with technology issues and / or in-person appointment technical issues
- Confirming Participant attendance at assessments
- Managing timelines for receipt and delivery of Assessment reports from Assessors
- Coordinating report quality assurance reviews between our QA Team and Assessors
- Other duties, as assigned by the Assessment Coordinator Team Lead
- The MAA’s direct manager may change from time to time, as necessary.
REQUIREMENTS:
- Post-Secondary education in an allied health / mental health-related field or expertise developed through extensive industry experience.
- Understanding of Medical Terminology and sufficient work experience in the Assessment industry.
- Advanced-level competency in Microsoft Products (Teams, Outlook, Excel, Word, PowerPoint)
- Advanced-level competency in Telemedicine platforms
- Thorough understanding of legislation related to the storage and sharing of Personal and Personal Health Information (e.g. PIPEDA / PHIPPA) and extensive experience with Personal and Personal Health information storage and sharing protocols
- High standards for accuracy and quality in a fast-paced work environment
- Excellent verbal and written communication skills
- Excellent customer service skills
- Fluency in French and English (strong asset, although not required)
- Proven ability to meet Client KPIs / SLAs is a must
- Proven ability and willingness to follow company policy / processes and procedures
- Ability to multi-task and work productively in a busy, dynamic, and fast-paced team environment, meeting Client deadlines
- Must be a team-oriented problem-solver who takes ownership of their work
- Positive interpersonal communication skills, both internally within the Vector Medical team and externally with Clients are essential
- Must be self-motivated
DAILY DUTIES:
- Maintains and transmits customer and client records confidentially through our secure cloud-based database
- Maintains telemedicine and in-clinic appointment schedule
- Gathers information from Client contacts on new referrals
- Sets up new referrals in cloud-based database system
- Sets up appointments for Assessors both in-office and via telemedicine across Canada
- Sends out and follows up on requests for information
- Confirms Assessment appointments with Assessment attendees and assists them with technical and logistical issues
- Other duties as assigned
