Job Title: Office ManagerGrade: 24Salary: $84,859 – $86,830The Research Foundation for Mental Hygiene, Inc. is seeking one (1) qualified candidate to fill the full-time position of Office Manager within the New York City Department of Health and Mental Hygiene’s (Health Department’s) Office of the Executive Deputy Commissioner (EDC) for Mental Hygiene.The EDC Office leads and supports the Division of Mental Hygiene, which is responsible for oversight and strategic planning of programs and policies to promote the behavioral health and wellbeing of New Yorkers. The Division has more than 600 staff, more than 500 million dollars in contracted and direct services and includes six Bureaus (Administration; Alcohol and Drug Use; Children Youth and Families/Developmental Disabilities; Community Awareness, Action, Response, and Engagement; Justice-Impacted Populations; Adult Mental Health). Duties and Responsibilities:The Office Manager will take on diverse duties to assist the EDC and Office, provide support and leadership within the EDC Office, and collaborate with staff and leadership from across the Division and Agency to ensure effective and efficient operations and administrative functions. The Office Manager will: Schedule meetings and events for EDC and Divisional leadership:

• Manage the Executive Deputy Commissioner’s schedule, coordinating with a range of internal and external stakeholders.
• Manage, support, and track meeting and event scheduling and planning for the EDC and EDC Office.
• Set-up and conduct virtual meetings and events
• Assist with collecting and compiling information for select routine reporting activities Support development and execution of meetings:
• Help identify, track, and triage priority activities, meetings, and requests
• Develop and disseminate meeting agendas and materials
• Participate and collaborate with staff in routine meetings and activities Organize, track, and complete memos, travel requests and other applicable forms:
• Ensure forms, contracts, and other official documents are reviewed, signed, and submitted on-time
• Effectively communicate and liaise with EDC and other relevant parties to manage travel request/plans, as well as draft and submit with travel planning and drafting and submitting appropriate travel requests documentation
• Track and ensure timely review of documents and other work products submitted to the EDC for reviewCollaborate in activities to promote cohesion and equity in the workplace:
• Collaborate with other Office staff in event planning and implementation
• Develop and disseminate announcements and other messages to broad audiences, as representative of the EDC and Office
• Participate in Office and Agency initiatives to advance racial justice and equity in the work and workplace
• Support planning and scheduling of initiatives to promote social cohesion such as Divisional newsletters and webinars
• Organize presentations, reports, one pagers and other relevant document in Divisional SharePointOther related work:
• Serve as the liaison between the EDC Office and other Human Resources and Administrative/Operational units and staff
• Ensure office supplies are stocked and other material needs of EDC Office are met Collaborate with colleagues to ensure materials needs, including office supplies, are available for EDC Office and other Divisional staff for routine work or special initiatives of the Agency.Minimum Qualifications:1. A baccalaureate degree from an accredited college and three years of satisfactory full‐time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full‐time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in ʺ1ʺ above: or3. A four‐year high school diploma or its educational equivalent approved by a state’s department of education or a recognized accrediting organization and five years of satisfactory full‐time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in ʺ1ʺ above.4. Education and/or experience equivalent to ʺ1ʺ, ʺ2ʺ, or ʺ3ʺ above. However, all candidates must possess the one year of administrative or supervisory experience as described in ʺ1ʺ above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in ʺ1ʺ above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.Preferred Qualifications:
