Starlight Investments Looking for Construction Coordinator at Toronto, Ontario, Canada Full Time

Starlight Investments, in conjunction with WP Osborne Executive Search, is looking to fill a Construction Coordinator.

CONSTRUCTION COORDINATOR

Reporting to the Senior Vice President of Construction, the Construction Coordinator plays a role in supporting the construction of mid and high-rise residential and mixed-use projects nationwide. This role will support construction activities including assistance with schedules, budgets, tenders, notifications, approvals processes, contracts, change orders, and other project related tasks.

Duties and responsibilities:

• Organize all start-up project documentation including Ministry of Labor forms, insurance, permanent utilities, and underground utility stake-outs, as well as subcontracts, POs, change orders, bank draws, site inspections, certificates of substantial completion and/or publication, and assist with proposals, tenders, and contract management;
• Receive incoming correspondence, manage outgoing communication, and keep a record of required actions and deadlines to ensure timely responses;
• Provide pro-active support to the SVP and the project management team members to ensure they are well-prepared and organized for all meetings;
• Review documents, reports, and correspondence paying specific attention to format, content, grammar, spelling, and necessary editing;
• Collect and process invoices, subcontracts, purchase orders, change orders, and other financial documents in both digital and hard copy formats as needed;
• Foster strong working relationships with both internal and external parties, including consultants, contractors, vendors, utilities, inspectors, and other relevant stakeholders;
• Collaborate closely with internal departments to coordinate site access, schedules, prepare project status reports, communicate project progress, and other project related documents;
• Aid in preparation of RFPs, RFIs and tender documents;
• Oversee the onboarding process for new vendors;
• Ensure the proper documentation and processes are executed for every project;
• Set up and coordinate internal and external data management folders for use by internal and external project teams;
• Process invoices and payment certificates for approval and submission to the accounts payable department;
• Assist in monitoring budgets and schedules, forecasts and updates;
• Organize and participate in weekly, bi-weekly, or monthly project-related meetings; prepare minutes in coordination with the construction manager;
• Review progress and compile deficiency lists, including punch lists before turnover to property management;
• Assist with all municipal and agency permits;
• Assist with the project closeout checklist and the submission of closeout documents.

Qualifications

The ideal candidate will possess a minimum of one year of construction experience ideally as an on-site project coordinator; understanding of construction methodologies and materials; proficient knowledge of Microsoft Office (Excel, Word, PowerPoint, Outlook) and MS Project; effective time management, communication, and problem-solving abilities. A valid G driver’s license and the ability to travel to various GTA project locations are required.
