ABOUT THE ROLE
The Project Coordinator is someone who supports the team through coordinating with influencers, vendors, contractors, and clients. The successful candidate must be meticulously organized, proactive in providing customer service and maintain great relations with our agency suppliers and vendors. This role will report to the Project Manager and work alongside our Graphic Designers and Marketing Coordinators.
RESPONSIBILITIES
- Drafting and sending weekly reminder emails to clients for upcoming project progress deadlines.
- Following up with team members, clients and vendors for project progress and deadlines.
- Consolidating ad creatives from clients, designers and creative agencies. Package files to share with media vendors for ad placements.
- Attending client meetings, taking detailed notes, preparing and sending recap emails and documents to clients and vendors.
- Source, vet, evaluate, and coordinate influencers and media vendors for different campaigns. Media channels and influencers would be in English and Chinese, covering social media platforms in both languages, including but not limited to Little Red Book, WeChat, Weibo, TikTok, YouTube and Instagram.
- Preparing, distributing, and updating media plans and workback schedules for client and internal projects.
- Keeping organized records of digital and print ad placements of all media placements with our advertising vendors and influencer campaigns for each project. Filing records into designated folders with appropriate file name structures.
- Preparing monthly ad media placement reports for client projects using performance statistics from media and influencer vendors.
- Other administrative and coordination tasks as needed.
QUALIFICATIONS
- Superior organization skills.
- Previous experience in the real estate industry is an asset.
- Exceptional written and verbal communication skills in English and Chinese.
- Chinese fluency is required as the Project Coordinator must be able to review and comment on Chinese social media content and ad creatives.
- Thorough understanding of Chinese social media platforms including Little Red Book, WeChat, and Weibo, is required.
- Previous experience in an agency setting an asset.
- Previous experience in coordination role an asset.
