Copper Bay Homes Looking for Accounting Manager at Waterloo, Ontario, Canada Full Time

What we are looking for:

We are seeking a detail-oriented and experienced Bookkeeper to join Copper Bay Homes Ltd. as an Accounting Manager! The ideal candidate will be responsible for maintaining accurate financial records, managing accounts payable and receivable, and ensuring compliance with trust account reporting. In addition, the Bookkeeper will play a vital role in collaborating with project managers, project coordinators, subcontractors, and clients to support the financial aspects of construction and development projects.

Responsibilities:

Financial Recordkeeping:

• Accurately record income and expenses into QuickBooks Online
• Maintain organized and up-to-date ledgers and journals for project-specific and company-wide financial records using QuickBooks Online
• Reconcile bank statements and credit card transactions to resolve discrepancies in a timely manner

Accounts Payable and Receivable:

• Manage accounts payable by processing supplier and subcontractor invoices, verifying accuracy, managing approval process, and ensuring timely payments
• Handle accounts receivable by issuing invoices, tracking customer payments, and following up on overdue accounts

Financial Reporting:

• Prepare reporting and remittance for HST, payroll, and WSIB accounts
• Assist in budget creation and monitoring for construction projects, tracking expenses against budgets, and reporting variances
• Prepare regular financial reports including income statements, balance sheets and cash flow statements to provide insights into the companies financials performance and support decision making

Collaboration:

• Project Managers and Coordinators
• Collaborate with project managers and coordinators to gather financial data related to construction projects, including budgets, contracts, PO’s, expenses, and revenue
• Assist in project cost tracking and analysis to ensure projects remain on budget
• Seek approval on invoices prior to processing for payment
• Subcontractors
• Communicate with subcontractors regarding invoicing, payments, and documentation requirements
• Verify subcontractor invoices and ensure compliance with contractual agreements
• Clients
• Interact with clients regarding invoicing, payments, and any financial inquiries they may have
• Maintain positive client relationships by addressing their financial concerns promptly and professionally

Compliance and Documentation:

• Stay informed about financial regulations and compliance requirements specific to the construction and development industry
• Assist in preparing and filing trust account returns
• Other duties as required, including preparation of ad hoc reports

Qualifications:

• Proven experience as a bookkeeper or in a similar financial role (5+ years), preferably in the construction or real estate industry
• Proficiency in accounting software and financial management tools
• QuickBooks Online experience is a requirement
• Builder Trend experience is an asset
• Strong proficiency in MS Office applications, including excel
• Strong understanding of financial regulations and compliance
• Understanding of construction accounting including Canadian Construction Documents Committee (CCDC) contracts and MasterFormat divisions is considered an asset
• Excellent communication and interpersonal skills for effective collaboration with project teams, subcontractors, and clients
• Detail-oriented with a high level of accuracy in financial recordkeeping
• Strong organizational and time management skills
• Ability to work independently and prioritize tasks
• Bachelor’s degree or diploma in accounting, finance, commerce, or related field
