Position Overview
Supporting our team of Fire & Life Safety professionals at our downtown Toronto Offices, the Project Administrator is considered the steward of quality at LRI. They should be attentive to LRI’s systematic processes to facilitate successful completion of tasks and identify efficiencies where possible. The PA will manage project inception from Jot Form submission through to the delivery of proposal, ensuring required deliverables are provided in a concise and timely manner. The PA will maintain and update client information as it becomes available and aid in the production and delivery of reports. The Project Administrator will be required to communicate with both internal and external stakeholders using various means demonstrating a high level of customer care and professionalism.
Responsibilities
The Project Administrator will be asked to provide the following services to clients and staff members:
- Organize and prioritize work tasks
- Communicate effectively and professionally with multiple clients and LRI staff on a regular basis (i.e. gather and input of client information/authorization)
- Initiate new jobs by preparing price quote forms, project services information, and proposal documents
- Follow up as appropriate with clients and staff to expedite the execution of deliverables, ensuring accuracy and timeliness of delivery, commensurate with expectations
- Maintain master calendar of Fire & Life Safety training events, clients data, venues, and experts that are assigned to the events. Ensure that events take place without any conflicts in schedule and expert deployments.
- Maintain a high level of accuracy and consistency in all documents and emails
- Ensure all pertinent emails and documents relating to jobs are saved to the job folder, as well as other associated file maintenance tasks
- Track and report job progress (i.e. activation and/or closure of jobs)
- Assist in the preparation and general formatting of LRI documents to ensure quality and consistency
- Facilitate the issuance of client deliverables in the prescribed format
- Provide ad hoc support in proposal coordination efforts
- Provide general support to the Operations Team, as required
Qualifications
- University degree or college diploma or an appropriate combination of education and relevant experience
- 5-8 years of relevant experience preferably in architecture/ engineering or construction industry
- Exceptional writing skills (proofreading, editing, grammar, and spelling)
- Exceptional computer skills including MS Office, (Word, Excel, Powerpoint, Outlook), MS Teams and MS Planner with professional level keyboard skills
- Detail oriented with a high degree of accuracy
- Self-starter with a high level of initiative and resourcefulness
- Ability to establish positive relationships with internal and external stakeholders
- Ability to adapt and prioritize work according to business needs
- Ability to work independently with minimal supervision in a team environment
- Experience in the Architecture/Engineering/Construction industry is an asset but is not required
- Willing to collaborate with other Project Administrators and be a cover during any absences.
