Job Summary

Co-ordination and execution of all back office functions associated to contracts while contributing to team motivation, training, and development. Identify and plan contingency for shortfalls in contract entry and renewal submissions. Ensure all administrative functions required to evaluate and enter contracts for completion are adhered to through to the posted stage and initiation of the contract in the system. Ensures all data is appropriately captured in each contract. All inputs are reviewed for accuracy, including but not limited to Customer information, site information, revenue recognitions, PM schedules, tech assignments.

Responsibilities

  • Maintain healthy group dynamics.
  • Intervene when necessary to aid the team in resolving issues, remove barriers and ensure they have the necessary knowledge and tools required to be successful.
  • Runs all expiry lists for contracts across all BU’s as determined
  • Runs all profitability and reviews for accuracy in system and prepares MMC review sheet
  • Provides all pertinent info to contract leader for review and/or approval as required
  • Handles renewal with customer once all relevant information has been received
  • Prepare all internal documentation to submit to CMMS/Purchasing
  • Enters all new contracts in system. This includes but is not limited to: equipment, tasking, including custom, sites set up, labour rate set up, attach all appropriate correspondence and working sheets including signed contracts.
  • Creates preventative maintenance work orders as required
  • Completes any changes/updates as required.
  • Gather, collate and analyze activity data and make recommendations to support continued KPI development and improvements
  • Facilitate positive working relationships with internal and external clients.
  • Maintain interaction quality by ensuring customers’ needs are responded to appropriately and within targets.
  • Identify & Suggest opportunities for Process Improvements & efficiencies within department
  • Supports the regional dispatch or other shared services teams as required to ensure understanding of contracts and internal & external client needs are met
  • Perform quality audits to ensure all contract information is accurate and updated accordingly.
  • Creation and distribution of various other reports through various systems to support the business as required
  • Sensitivity to confidential matters may be required
  • Act in a professional manner to reflect positively on Ainsworth.
  • Adhere to all company policies and procedures.
  • Perform all job functions in a safe and healthful manner, abiding by and in accordance with all applicable Health, Safety and Environmental company policies and government legislation/regulations.
  • Adhere to the Company’s Quality System operating procedures.
  • Perform other duties as assigned by Management.

Qualifications

  • Post-secondary education in related area of study or equivalent.
  • 5+ years relevant experience in a related environment.
  • 2+ years in a leadership or supervisory capacity within a related environment.
  • Proficient computer skills, including knowledge of service management systems.
  • Very good working knowledge and capabilities in excel is required
  • Proven ability to communicate effectively with a diverse group of internal and external individuals.
  • Proven systematic and organized approach to multi-tasking.
  • Demonstrates integrity, initiative and focus.
  • Ability to communicate clearly and set expectations with internal and external personnel
  • Written communication is imperative and the ability to document information and instructions so others understand the course of action taken/required.
  • Service and customer orientated – Actively looking to help people. Anticipates and works to understand and meet customer needs in a helpful way. Takes personal responsibility to correct customer’s problems. Corrects customer service problems promptly and non-defensively.
  • Knowledge of business procedures..
  • Demonstrates ability to work independently to complete assigned tasks with minimum supervision.
  • Working knowledge of the English language both written and oral.
  • Demonstrated ability to meet deadlines and prioritize a heavy workload.
  • Professional, friendly, exceptional interpersonal skills.
