JOB TITLE: Operations Specialist – Invoicing, Reporting & Contract Management

JOB SUMMARY:
Reporting to the Director, Ottawa Operations & Security, this role is responsible for the specialized invoicing and contract reporting for a subset of the Ottawa branch accounts. In addition, the role manages and maintains the branch contract repository.
ESSENTIAL FUNCTIONS:
· Responsible for the management and maintenance of the Branch contract repository.
· Maintain a list of all active contract vehicles and ensure required insurance certificates are updated as necessary.
· Responsible for overseeing and ensuring that Government and Commercial Client Contract Reporting is undertaken in a timely manner within prescribed contractual obligations (ie. monthly, quarterly) for a designated account base.
· Responsible for specialized monthly client invoicing such as DND and others as required.
· Review consultant travel/expense claims and submit invoices to clients.
· Perform invoice reconciliation as needed for manual invoices.
· Submit Quarterly Usage Reports for Supply Arrangements and Standing Offers to Centralized Professional Services System (CPSS) on behalf of Akkodis.
· Conduct quality reviews on all contract, invoicing and assignment order transactions to ensure compliance with policies, standards and contractual obligations.
· Flag errors, make corrective recommendations and monitor error correction actions by assigned responsible individuals.
· Assist with the management of the Branch assignment/contract database.
· Assist the Back Office with correcting timesheets, billing/invoice issues, or collections as requested.
· Ensure timesheets and required backup (if applicable) balance and are compliant to contracts that are managed for clients.
· Perform backup duties for other administrative functions as needed.
· Attend regularly scheduled Operations Team meetings.
· Any other duties as assigned by Manager.
