ADMINSTRATIVE COORDINATOR

WHO WE ARE

Located in downtown Toronto, Podium Developments is growing and is looking for an enthusiastic, motivated, and culture focused Administrative Coordinator to join our team.

Founded fifteen years ago and a registered Tarion builder since 2006, Podium Developments has a successful track record in rezoning, developing, and constructing sensitive urban infill locations, often near major institutions. With over $1 billion of real estate completed or under construction in the GTA, Oshawa and Kingston area, Podium Developments has demonstrated tremendous expertise in bringing new developments to fruition.

WHAT WE’RE LOOKING FOR

Your role as the Administrative Coordinator will be to support the Podium team with general office support and administrative tasks. Your natural knack for helping others and getting things done will make you a great fit in your new role. Based from our head office in Toronto, you will also liaise with various on-site teams other departments within the organization.

RESPONSIBILITIES

Podium Culture

• Participate, coordinate, and strengthen team culture.

Administrative Duties

• Manage frequent full team meetings including planning, agenda, setup, and minutes.
• Act as Commissioner and commission documents as required.
• Master document creation and maintenance
• Project CV updates and maintenance
• General team support (travel, communication, filing, etc.)
• Invoice receiving, processing – and filing
• General digital file management and organization

Health and Safety

• Act as JHSC Head office rep – facility checks, first aid logs, supplies and incident reporting.
• Manage employee H&S training (tracking, training vendors, database, certifications)

Information Technology

• New employee onboarding, set up and training on various office IT services.
• Corporate phone plan management
• Hardware management (phones, computers peripherals), including on/off boarding.
• IT Consultant liaison
• Provide semi-annual computer maintenance.
• Setup telecom services for remote offices
• Software subscription management (MS admin, Gsuite Admin, etc.)
• Email Server Management and creation of Aliases

Marketing

• Social media (LinkedIn) and website maintenance and updates
• Corporate-branded material coordination
• Press and marketing filing

Other

• Corporate Expense management and tracking
• Backup other areas of Corporate Services Team.

KEY QUALIFICATIONS

• Minimum 1-3 years of progressive administrative experience, or recent completion of diploma or post- secondary education
• Strong organizational skills and ability to prioritize work and meet multiple deadlines in a fast-paced team environment.
• Hands-on team player who can set up and implement best practices.
• Superior communication (written and verbal) and interpersonal skills; able to interact professionally with all stakeholder levels.
• Self-motivated, resourceful, and proactive, with respect to both managing workload and professional development.
• Eager to learn and grow within the company.
• Proficiency with MS Office – Outlook, Word, and Excel.
• Experience working with GSuite Software (Gmail, Google Calendar, etc.)
• Mobility or access to car is a plus
