POSITION OVERVIEW:Wide ranging general office and service administrative duties including support of service department, project management and operations teams.This position is customer facing and must be able to at all times create a customer-centric experience that promotes our trusted brand within the marketplace.

RESPONSIBILITIES/DUTIES: The purpose of this description is to provide a concise statement of the work elements. GENERAL RESPONSIBILITIES:

• Represent Company in a business-like professional manner in both conduct and appearance, to maximize client satisfaction
• To create positive impressions, and develop professional relationships with colleagues and clients by ensuring appearance, behaviour and attitude always represent the company in a professional manner.
• Review service tickets, gather all notes and ensure accuracy in preparing tickets for invoicing.
• Assist service in invoicing, including preparation of documents
• Assist service coordinator in preparing and updating clients in regular customer Service Review calls
• Maintain and track Service Level Agreements, Preventative Maintenance Programs and ULC inspections
• Obtain purchase orders from customers as needed
• Assist in promptly closing work orders once work is completed
• Schedule and coordinate equipment rentals for projects and service
• Assist in creating simple labour and material quotes based on feedback from Service Technician visits
• Provide ongoing two-way communication between the customer and the Service team
• General office duties and support for service and projects department, including assisting with presentations and document preparation for customer facing documents
• Reviewing technician notes to verify all materials noted as being used match materials being billed to client on call
• Following company and department procedures
• Perform additional duties as required

REQUIRED QUALIFICATIONS:

• High School Diploma or GED
• 2 year of experience with general administrative duties in an office environment and/or
• 2 year of experience in a service environment

PREFERRED QUALIFICATIONS:

• 3+ year of experience in customer service
• Basic accounting and accounts receivable knowledge
• Proficiency with Microsoft Office and computerized business systems as demonstrated by a minimum of 1 year of experience
