CAREERS & INTERNATIONAL EDUCATION COORDINATOR

There is a position available for Careers & International Education Coordinaor with School District No. 60. Applications must be completed online and will be accepted until noon, May 22, 2024.

Reporting to the Administrative Officer Careers/International Education/SWIS and the Director of Instruction – Human Resources, this position is responsible for working in collaboration with the Human Resources, and Careers & International Departments in providing services to staff, students, parents, and agents.

Hours of Work: 8 hours per day

Duties to Commence: As soon as possible after closing

Work Year Base: Twelve (12) months per year

Commencing Salary: $32.06/hr.

Duties To Be Assigned Include

Responds to enquiries from prospective fee-paying international applicants, students, parents, agents, staff, or the public regarding academic programs and regulations, procedures, application forms etc.

Employs diplomacy skills in working with a client base that has cultural differences and language barriers.

Administers the academic application process by processing admission applications, ensuring compliance with program policies and procedures; reviewing forms for completeness and accuracy; following up on incomplete applications; issuing receipts for tuition fees; initiating student files and maintenance of all related records.

Issues correspondence related to the programs; including the initial Letter of Acceptance or Non-acceptance for fee paying students; invoices; the custodianship (including notarization) documents and required permissions for parental signatures.

Creates and maintains student application files for all international programs and enters information into the file tracking systems – the MyEdBC and True North International Education programs.

Keeps current and knowledgeable of Ministry Graduation Program requirements.

Enters all transcript data relating to equivalent and current courses in MyEdBC.

Assists students with Post Secondary Institution selections on the Ministry’s Student Transcript Service site.

Generates agent contracts, processes, and authorizes all agent commission fees.

Designs and maintains all forms/documents required for the International Department i.e. student application, home stay questionnaire, program participation agreement and pre-departure handbook.

Advises students of Immigration Canada and the Ministry of Education directives and revisions to policy and procedures in relation to careers and international student programs.

Works with district staff providing the information necessary for the monthly reconciliation of the offshore account.

Processes all career program invoices and staff reimbursements including tracking the related budgets.

Enrolls international students for appropriate medical insurance coverage.

Submits student claims for medical reimbursement as needed.

Assists the District Administrative Officer by working with agents on all ongoing matters involved with their enrolled and enrolling students.

Works closely with the Home Stay Coordinator, assisting, advising, and supporting their role.

Assists other international staff with airport pick up, orientation and other duties related to the arrival and/or departure of students.

Manages the development and coordination of marketing plans and programs.

Plans and attends agent fairs, recruitment events, and information sessions.

Has a valid passport and is able to travel domestically within Canada and internationally to attend recruitment events and meet with School District partners.

Develops and manages strategic alliances within new market sectors to support market entry.

Develops and manages new alliances with universities, colleges, and overseas government agencies.

Development and management of marketing plans in line with the School District goals.

Acts as a School District contact for Make A Future and Apply To Education.

The responsibilities of this position shall be carried out in accordance with the School Act, School Act Regulation, District Policies, and other applicable regulations.

Performs other duties as assigned by the District Principal of Careers and International Education, and the Director of Human Resources or designated senior staff.

Qualifications And Attributes

Diploma or equivalent in Business Administration

Satisfactory completion of at least two (2) semesters at an accredited college or university in accounting or equivalent

Minimum 2 years recent (within 5 years) experience working in financial and managerial accounting required

Experience developing marketing materials. Certificate in Social Media Marketing or related training

Proficiency in word processing, data maintenance, spreadsheets, and accounting software

Demonstrated high degree of accuracy with data and accounting tasks

Must meet clerical typing (40 w.p.m.) and other standards set by the School District

W.H.M.I.S. Certification and other online safety training provided by the District to be completed within the probationary period

May require a Level 1 First Aid Certificate

Valid Class 5 Driver’s Licence and access to a reliable vehicle

Clean Driver’s abstract

Must be able to pass a Vulnerable Sector Criminal Records search conducted by the District prior to starting employment

Must be well organized

Ability to manage difficult conversations in a professional manner

Ability to work independently and set priorities

Good interpersonal skills and the ability to be an integral part of a teamDemonstrated ability to act as School District 60 brand ambassador
