Job Description

The Office Administrator is responsible for managing the company reception desk as well as a wide variety of administrative duties. Directly reporting to our Executive Assistant/Office Manager.

• Presents a positive and professional image of the organization by creating a welcoming environment.
• Managing the switchboard, email and in-person inquiries from clients, business partners and other parties to the appropriate individuals, divisions or departments across the organization.
• Supports the Executive Assistant with a variety of administrative tasks and building facility needs.
• Arranging the logistical aspects of departmental programs, such as meetings, seminars, workshops, special projects and events.
• Travel arrangements – flights, hotel & car rentals via approved vendors.
• Maintains office requirements: business cards, name plates, office & kitchen supplies.
• Assist in the management of building security and accesses.
• Manages the visitor information book and ensures the reception area in a presentable manner.
• Oversees mail, courier and printing services.
• Performing other duties that may be assigned as necessary.

Qualifications

• Professional demeanor, with an excellent customer service approach.
• Impressive organizational skills, able to multi-task a variety of assignments with attention to detail.
• Superior communication skills – able to communicate with personnel at all levels of the organization and the executive team.
• Independent, able to troubleshoot and handle issues as they arise with minimal supervision.
• Strong knowledge of general office procedures and Microsoft Office applications (Excel, Word, PowerPoint, etc.)
• Excellent telephone manners and strong interpersonal skills.
• Three or more years of direct work experience as an Office Administrator/Receptionist.
• High school diploma or an acceptable combination of education and experience.
