Staff Coordinator (Home Care)
We are looking for an experienced PSW to join our team as a Staff Coordinator (Scheduler) for our quickly growing home care agency. Always Best Care is a provider of home care services to individuals, as well as Staffing solutions for retirement and long-term care communities.
One of the key responsibilities of the Staff Coordinator will be matching members from our caregiver team to service the care needs of our clients. Once you have assigned staff, you need to monitor the on-time arrivals of caregivers, re-routing and/or re-staffing of cases, if needed. Communication is extremely important, with a requirement to continuously discuss care needs with both clients and staff.
Several other responsibilities are also required. As necessary, the Staff Coordinator must complete shifts and provide PSW services. As part of a small office team, you will be required to answer incoming calls and enthusiastically help deliver solutions to our clients. Proactively developing relationships and obtaining business with Staffing clients is also expected. Finally, as time allows, paricipate in the Recruiting process, primarily through the screening of Resumes.
Reporting to the Executive Director, the job will be performed from our office located in Oakville. All aspects of the role must be delivered in a manner consistent with our culture, mission statement and values, policies and procedures, government guidelines, and local contract requirements.
Overview of Responsibilities
· Work with the Office Team to understand caregiver scheduling requirements.
· Understand the characteristics of each member of our Caregiver Team.
· Schedule caregivers for client assignments, working to provide the best fit for both.
· Primary contact for caregivers who have emergencies or issues with clients.
· Manage client issues as appropriate through discussions with the Office Team.
· Provide timely communication with clients on scheduling matters.
· As necessary, ensure appropriate documentation is provided on client care logs.
· Responsible for the timeliness and accuracy of the scheduling calendars.
· Process clock ins and clock outs, and record data for billing and payroll processing.
· Notify the Office Team of all staffing problems, resolved and unresolved, in a timely manner.
· Pro-actively resolve staffing issues because of changes to staffing or client schedules.
· Record and maintain detailed data in scheduling logs and staffing calendars.
· Maintain record of absences (approved and unapproved) of caregivers.
· On-call during the week, weekend and holidays as assigned.
· Personally fill shifts and provide PSW services when staff are not available.
· Proactively contact Staffing clients to determine staffing needs.
· Active participant in the feedback/review process for caregivers.
· Maintains and respects confidentiality of client, employee, and company information to ensure privacy is protected.

It is important to have a clear understanding of the knowledge, skills, and abilities an individual will need to operate in this position:
· Certified Personal Support Worker.
· Strong organizational, time management and problem-solving skills.
· Professional, results driven, with a can-do attitude.
· Excellent interpersonal and telephone skills.
· A strong understanding and appreciation for the role of the caregiver.
· Knowledge of ClearCare software is a definite asset, otherwise must have the ability to develop the necessary skills quickly.
· Ability to communicate clearly, both verbally and in writing.
· Proficient in Microsoft Office.
· Supports Diversity.
· Basic understanding of employment law.
