LOGISTICS SPECIALIST
Reports to: Director of Operations
Full-Time Employee
OVERVIEW:
- Report directly to the Director of Operations.
- Responsible for evaluating packaging and print suppliers, and ensuring that approved purchases are cost-efficient, aligned to The Jilly Box’s values, mission and vision, and are of high quality.
- Bring your experience to The Jilly Box and contribute to new processes and improvements within the procurement and operations department.
- Support new business strategy as it relates to procurement and logistics opportunities, for additional boxes and online store growth.
- Be empowered to lower costs, reduce risks, and improve the quality of our products and processes.
TASKS:
- Coordinate purchase orders for box packaging products and printed marketing materials
- Maintain packaging & print supplier relationships and negotiate prices
- Source new suppliers that align with our business objectives and values
- Generate purchase order documents and submit to finance for approval
- Organize tracking and arrival of samples , to all locations
- Maintain and label all samples at the office, and consolidate where possible
- Coordinate product and packaging samples for warehouse box fitting
- Ensure on time delivery of photoshoot samples from each supplier
- Coordinate QC samples from bulk production to be received at the office and approved
- Coordinate QC guideline process with suppliers to support inventory receiving at the warehouse
- Ensure the warehouse has QC samples and supplier QC guidelines in time for inventory receiving
- Point of contact with suppliers after signed contract to ensure production timelines and shipping deadlines are met
- Implement process for JBI to take on logistics and importing from factory
- Work with the procurement manager to ensure special cases (duties, taxes and broker fees) are budgeted for accurately.
- Request supplier packing lists and check for variances against contracts
- Work with Suppliers to identify ideal shipping routes and modes of transportation within budget
- Work with suppliers to solve late deliveries, inventory shortages or product damages
- Update The Jilly Box team and warehouse of delivery delays or inventory issues
- Initiate supplier chargebacks to account for packing discrepancies, damages received from factory and product warranty issues.
- Work with all departments to execute logistics of quick-sale boxes and buy-back inventory
- Support with supplier communication and PO tracking for buy-back inventory
- Ensure samples and inventory are received on time
- Organize a quarterly assessment of warehouse packing supplies and purchasing quantities
- Source additional/custom supplies as needed for market orders and quick-sale boxes
- Support the procurement department with achieving B Corp goals by sending surveys and requesting supplier/factory documentation as needed
- Log notes and update the team with supplier information about:
- Eco friendly packaging and materials
- Take note in product values tracker whether product packaging is recyclable or biodegradable
- Request documentation for certifications from companies. If they are not certified, then they need to provide proof Ex. Non GMO, organic
- Support The Jilly Box with logistics strategy as it relates to new business models for additional boxes and e-commerce growth
- Support companies that support our values (environmentally friendly, small business, ethically made, ethically sourced, cruelty free)
- Draft timelines and workback schedules that are feasible
- Work directly with the external distribution team to ensure product assortment in box meets physical size and weight requirements
- Writing PO’s and submitting for approval
- Update Monday.com with product details, delivery ETA’s and other seasonal procurement information for the team
- Support the procurement team by reviewing key messaging and deliverables to the Marketing Team

QUALIFICATIONS:
- 2+ years of experience in logistics, wholesale or online retail operations
- Experience working with inventory management and quality control
- Subscription box experience considered an asset
- Ability to apply the knowledge, skills and techniques to execute projects effectively and efficiently
- Strong technical skills to drive value, efficiency and effectiveness of project procurement while making tasks manageable
- Analytical skills to solve both complex and uncomplicated problems by making decisions that are sensible given the available information
- Ability to implement strategies that manages both every day and exceptional risks of procurement projects based on continuous risk assessments
- Able to present yourself in a clear, confident, and professional manner
- Experience tracking high-volume shipments and developing long-term partnerships
- High level of integrity, focus on building a collaborative, respectful, highly successful team.
- Exceptional organizational skills
- Proven track record of achieving production quotas and delivering on KPIs
- Highly organized and able to multitask in a fast-paced environment
- Detail oriented and capable of holding others accountable
