Rodeo FX Looking for IT Coordinator at Montréal, QC Full Time

The IT Coordinator follows up on the advancement of work for the Service Desk Technicians, making sure that the status of ongoing task assignments are up-to-date and that the technicians are aware of any changes to their assignments or priorities. This person manages all purchases, preparing POs for approval and placing orders with suppliers. They work closely with the HR team to stay on top of all new hires, to ensure that the employee is et-up for their first day of work.

Main responsibilities:

• Create P.O.s for approval and place orders with suppliers. Follow-up with suppliers on delivery times and any other issues encountered;
• Review the IT credit card statement on a monthly basis, ensure accuracy and provide all related invoices to Finance for processing;
• Research potential vendors, requesting quotes and comparing prices and quality;
• Create and send any communications relating to IT, such as to advise employees of changes, planned maintenance, outages, etc;
• Work closely with the human resources team to ensure all of the required information is available to prepare for new employees. Coordinate within the team to ensure equipment is set-up to the employee needs. Coordinate the shipping of equipment for employees who are working remotely;
• Conduct new employee onboarding sessions for IT;
• In collaboration with Facilities, plan and coordinate desk or office moves to ensure all IT tasks are handled;
• Coordinate the onboarding process for departing employees, ensuring accounts and accesses are closed and equipment is recuperated;
• In collaboration with the Help Desk Analyst, prioritize, dispatch and/or answer incoming calls, voicemails and email system requests;
• Open service desk tickets and log all incoming requests. Document and complete detailed service requests in the system;
• Document internal procedures to improve the knowledge base for users;
• Ensure follow-up between the service desk clients and Service Desk Technicians as to the status of requests and timelines;
• Maintain an up-to-date inventory of physical assets;
• Escalate problems or issues to the Service Desk Team Lead or Head of IT, where appropriate;
• Keep the Service Desk Team Lead and the Head of IT informed of the status of work, issues to be resolved, ramifications of problems encountered and recommend potential solutions;
• Ensure that requests are completed on a timely basis and that any deadlines are met, advising the lead promptly if delays could be expected.

• Experience in IT and/or a customer service role;
• Knowledge of English and French – should be fluent in one of these languages, functional in the other;
• Able to communicate solutions to issues in a clear and concise manner, both verbally and in writing;
• Strong knowledge of Microsoft Office (Word, Excel) and GSuite;
• Excellent sense of organization, prioritization and problem solving skills;
