As a team member, you can expect to:
Under the guidance of the Controller, the clerk will support all aspects of the day-to-day admin and accounting needs for the facility.
Finance:
· Posting invoices, journal entries, petty cash
· Matching invoices against purchase orders, packing slips, ensuring the price and quantity match, resolving discrepancies, getting approval of posted invoices
· Issuing checks and processing EFT direct deposits/payment of invoices
· Answering vendor inquires, preparing AP aging and AP history reports
· Filing paid invoices, maintaining filing of journal entries and bank documents, mailing check payments and financial documents
· Posting cash receipts, preparing bank deposit slips, travelling to bank to deposit checks
· Maintaining accounts receivable files, matching invoices and shipping documents with payment receipts for customer files
· Preparing AR aging and AR history inquiry reports
· Posting expense reports, ensuring all receipts and back up documents are attached
· Posting monthly corporate card expenses, ensuring all supporting documents attached, requesting missing documents if necessary
· Providing support with pulling and filing necessary financial documents during annual audit
· Maintaining filing system of financial documents and archiving of documents
· Providing and scanning documents for grant submission process
· Extended hours required occasionally – month-end, etc.
General Office Support
· General office support as needed
· Manage and update company directory
· Administrative support for team members, including:
What we are looking for:
· Minimum of 2 years’ experience as an Accounting Clerk or relevant administration experience
· Excellent customer service skills
· Strong Excel and Word software skills
· Good Outlook skills including email, meeting requests and tasks creation.
· Working knowledge in financial software specifically related to purchase order entry and accounts payable and inventory management is an asset.
· Good financial knowledge and skills—ability to understand basic financials such as accounts receivable/payable, purchase orders, work orders, etc.
· Strong organizational skills and the ability to handle multiple projects tasks simultaneously.
· Excellent attention to detail.
· Good verbal, written and interpersonal communication skills
· Strong flexibility to adapt to changing priorities, work processes, department structure, environment and technology in a dynamic and fun working environment.
