We are recruiting for an Administrative Assistant to join and support a team of 7 clinical therapists based in our Surrey office.
A Child’s Song provides clinical counselling, parent support, education and mentoring to families joined together through foster care and adoption. www.achildssong.ca
About our role
In this role, you will be the first face that clients see when they enter the office, and your calm and welcoming response is an important part of their experience at our agency. Some of your key responsibilities will include:
– Greeting clients when they arrive for sessions and preparing counselling rooms.
– Responding to emails and phone calls from clients and prospective clients.
– Scheduling counselling sessions, workshops, and events.
– Managing accounts receivables and other basic accounting tasks
Your skills and experience
The successful candidate will possess the following skills and attributes:
· Previous administrative experience working in an office environment
· Proven ability to multitask and work well under pressure, able to triage demands.
· Be digital savvy and confident using MS Office including Excel and QuickBooks or other accounting software. Experience using JANEAPP or another similar scheduling tool (a plus).
· An understanding and awareness of confidentiality in the context of a counselling office and a commitment to maintaining client privacy.
· Excellent written and verbal communication skills.
· Demonstrated capability in problem solving and conflict management skills.
· Have a calm and helpful customer service attitude when answering the phone and interacting with clients and the team alike.
· The ability to stay calm and problem solve when children/youth are dysregulated.
