About the Role:

Join us at ATCO Gas as an Administrative Assistant. As a valuable member of the Business Technology team, you will have the opportunity to work in a fast-paced and changing environment, offer Administrative Support to the team members, where you will be challenged to excel and make a difference. Problem solving and time management skills will be critical in this role – as well as professionalism and discretion. Importantly, the team requires you to be passionate about collaboration, teamwork, and having fun within ATCO.

What You’ll Do:

• Proactively organize and manage Directors’ needs as required.
• Provide a high level of administrative support to multiple Directors, including but not limited to calendar coordination (set meetings, agendas, and coordinate steering committees), expense reports, and travel bookings.
• Schedule and coordinate large meetings, offsite sessions, and meetings with external parties.
• Manage Information Technology (IT) requests and interface with the IT department.
• Onboard and offboard project resources.
• Serve as the first point of contact for internal and external visitors.
• Manage incoming/outgoing mail and couriers.
• Process, code and submit invoices and manage multiple vendor accounts for the office.
• General office maintenance including office supply maintenance, boardroom maintenance, and catering.
• Back-up support for Executive Assistants as required.

What we are looking for/Who You Are:

• High School Diploma or G.E.D is required. A diploma in Office or Business Administration would be considered an asset.
• 3 – 5 years of previous administrative experience is required.
• Advanced knowledge and high proficiency in MS Office Suite (Outlook, Word, MS Teams, Excel, and Power Point) is required.
• Previous or current work experience within a customer service environment is considered an asset.
• Demonstrated ability to confidently work independently, exercise good judgment, and show initiative.
• Ability to analyze, make decisions, and provide recommendations as appropriate.
• High level of discretion due to exposure to confidential information; ability to handle critical and confidential information and sensitive situations.
• Exceptional customer service skills and professional telephone manners.
• Excellent interpersonal, organizational, and written/verbal communication skills.
• Ability to multi-task and work within a fast-paced environment while remaining flexible and steadfast.
• Ability to prioritize work with conflicting demands and meet critical deadlines.
• Strong attention to detail and a high level of accuracy.
• Collaborative, resourceful, creative, and a self-starter who requires minimal supervision.
