The Unit Clerk – Staffing Clerk’s primary tasks include strong computer skills (enter time statistics, emails, e-people, etc.), distributing mail, faxing, photocopying, answering and placing phone/text calls. Have the ability to enter payroll and maintain manual and computer records and collect information for the Manager. Other tasks include filing, entering and revising schedules, and schedule training. The Staffing Clerk provides staff scheduling support and completes payroll entry for the Operating Room, PAC, Booking Office, ER, Inpatient Unit, Day Surgery, Allied Health and IV Therapy. The clerk assumes the overall responsibility for the placement of the best qualified relief staff to all units on a daily basis. A sound knowledge base of the various collective agreements would be an asset. This position requires strong written and verbal communication skills and the ability to foster and develop strong working relationships across the various programs. Strong time management, documentation skills, able to work under pressure and tight deadlines is required. The position deals with complex, often urgent staff scheduling tasks with short timelines, in a busy, high-pressure office.
As a Unit Clerk, you will be responsible for the efficient flow of communication between health professionals, departments, patients and families while maintaining confidentiality of patient information. You will also be responsible for a variety of administrative tasks which may include reception, greeting and directing visitors, patients and health professionals, maintaining patient records and charts, transcribing and processing physician orders as well as scheduling patient tests and/or treatments. You will also be responsible for performing a range of administrative activities in support of the unit.
Required Qualifications:
Completion of Grade 12 or equivalent. Completion of an accredited Unit Clerk Course or equivalent training program.
Additional Required Qualifications:
Experience within a medical/hospital setting is required. Hospital unit clerk certificate is required. Experience with computers is required. Excellent communication skills both verbal and written required. Able to work independently with minimal direction is essential.
Preferred Qualifications:
Previous staffing clerk experience in a hospital setting preferred. Previous experience with ePeople payroll preferred. Familiar with scheduling within the UNA, AUPE AUX, AUPE GSS and HSSA collective agreements are an asset.
