Alberta Securities Commission Looking for Administrative Assistant at Calgary, Alberta, Canada Full Time

The Alberta Securities Commission is the industry-funded regulator responsible for administering the province’s securities laws. It is entrusted with fostering a fair and efficient capital market in Alberta and with protecting investors. As a member of the Canadian Securities Administrators (CSA), the ASC works to improve, coordinate and harmonize the regulation of Canada’s capital markets.

The Corporate Finance division regulates businesses, both corporate issuers and investment funds, that raise money publicly or privately. This involves reviewing disclosure documents to ensure full and balanced disclosure. Staff are involved in the development of law and policy, and make recommendations respecting discretionary exemptions from securities law. Specialized teams focus on matters such as environmental, social and governance (ESG) disclosure; oil and gas reserves/resource disclosure; mergers and acquisitions, oversight of the TSX Venture Exchange; and how to improve capital formation in Alberta through regulatory and technological innovation.

Reporting to the Director, Corporate Finance, the successful individual will have a multi-faceted role, with responsibility for coordinating consultations and meetings with external parties, maintaining and updating contact lists, and conducting preliminary screening compliance review functions to support the work of accountants/senior analysts, legal counsel and engineers. The ideal candidate possesses a proven ability to successfully execute tasks that involve independent and proactive thinking, a high level of accuracy, and excellent judgement and problem-solving abilities that will be used in both novel and routine situations.

• Professionally and effectively coordinating the Corporate Finance division’s various advisory committees, and organizing ad hoc meetings with external stakeholders to seek feedback on potential policy initiatives.
• Diligently maintaining and updating multiple external stakeholder contact lists using the ASC’s client relationship management system to support distribution of reports, invitations to events and seminars.
• Coordinating with Communications staff to support the distribution of reports and the organization of seminars and webinars, as needed.
• Conducting preliminary screening reviews on certain regulatory filings to identify specified matters, corresponding with filers and their legal counsel to address deficiencies, referring other deficiencies to securities analysts/legal counsel and engineers for further review.
• Tracking reviews in the ASC’s client relationship management system and generating quarterly reports on the reviews conducted.
• Using DisclosureNet or other software to set alerts and identify and run reports to identify particular filings for referral to analysts/accountants, legal counsel and engineering staff.
• Have an undergraduate degree, legal assistant certificate or equivalent experience.
• Have a minimum 8 years of progressive experience in senior administrative roles in a professional environment supporting multiple individuals or groups of people.
• Excellent understanding of and proven ability to work with client relationship management software and excel spreadsheets.
• Convey a professional demeanor.
• Possess excellent oral and written communication skills, exceptional attention to detail, and a sense of ownership and responsibility for their work.
• Be a proactive problem-solver able to work independently with minimal direction.
• Be a collaborative and collegial team member, able to work with a diverse team.
• Demonstrate proven advanced computer skills; particularly client relationship management software, MS Word, Excel, PowerPoint, Adobe, Outlook, Zoom and MS Teams.
• Be able to handle multiple demands while being highly adaptable and responsive to changing priorities.
• Demonstrate strong organizational and analytical skills.
