Reporting to the Chair, Academic Access Centre, the Academic Upgrading Module Centre Clerk, supports the delivery of the Academic Upgrading (AU) program through providing excellent client service, accurate record keeping and maintaining clean and organized workspaces.
Duties and Responsibilities :
Client service in the Module Centre
Provides welcoming, organized and friendly environment to students accessing the Module Centre.
Inputs all new Goal Orientation, returning and PHS students into ResourceMate by using lists produced by support staff colleagues as well as GeneSIS.
Using loaning software, loans course materials to students as per faculty instructions. Checks materials back in.
Places encumbrances on student file for overdue items, follows up with encumbered students by email and phone to encourage them to return material.
Removes encumbrances when materials are returned.
Keeps accurate records using Excel of all course material that is outstanding by students as well as outstanding funds owing.
Monitors inventory and places orders with Chair’s Administrative Assistant when supply is low.
Inputs all new course material into ResourceMate.
Clerical support for the Academic Access Centre Office
Prepares accurate student files by given deadlines for the day and evening Goal Orientation courses and the evening science courses.
Prepares weekly class lists for the faculty.
As part of the Literacy and Basic Skills (LBS) funding requirements (and following a process established by the LBS Coordinator), contacts past students 3, 6 and 12 months after they left the LBS program to document their outcomes and evaluate their training activities.
Identifies, communicates and recommends ways to improve processes across all areas of responsibility.
Acts as back up for the Academic Access Centre Receptionists and Test Centre Clerks when required.
Required Qualifications:
One (1) year certificate or equivalent in Office Administration or related field
Minimum of one (1) year client service experience in a clerical office setting.
Experience using MS software (e.g. Outlook, Word, Excel, Teams).
Experience with GeneSiS would be an asset.
Experience in a post secondary educational environment would be an asset.
Anticipated Weekly Schedule:
Tuesdays – 5.5 hours
Wednesdays – 6.5 hours
Thursdays – 5.5 hours
Friday – 6.5 hours

This job requires occasional or regular onsite work in accordance with Policy HS 16.
