Role: Executive Assistant
The executive assistant is a supportive force that empowers our senior leadership. They will be a proactive problem solver with exceptional communication skills and a strong attention to detail. Given the dynamic nature of the executive landscape, the executive assistant must be flexible and consistent while maintaining the confidentiality of high-level systems and operations.
KEY RESPONSIBILITIES:
- Support the CEO and CFO, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently
- Maintain and refine internal processes, and coordinate internal and external resources to expedite workflows
- Manage communication with employees by liaising with internal and external executives on various projects and tasks
- Plan and orchestrate work to ensure the senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld
- Coordinating company-wide internal communications
- Calendar management
- Email monitoring/management of inboxes
- Review of mail and re-distribute as required
- Arrange travel and corresponding itineraries as and when requested
- Minute-taking at meetings
- Write correspondence, proof, and edit documents as required to ensure proper grammar, accuracy, and consistency
- Welcome and receive visitors to the executive office, in person or by phone, answering or directing inquiries
- Prepare drinks, snacks, and/or meals as requested
- Keep Executive Offices tidy and clean
- Develop and carry out an efficient documentation and filing system
- Other misc. projects/research only as specifically instructed
- Liaison with lawyers and third parties re: miscellaneous items, including notarizing/witnessing signatures
- Prepare President’s personal bank deposits, and manage his personal petty cash
- Responsible for managing processes for office filing, printing documents, etc.
- Arrange appointments and events for executives and family members
- Arrange various maintenance and repairs of family homes, including pool maintenance, generator maintenance, gate maintenance, pest control, professional organization, regular HVAC maintenance, and other tasks as needed
- Arrange gifts for executives’ family and friends around special occasions
- Assisting with driving if and when needed

Salary: $60,000 + Depending on Experience
