What the day will look like
The Senior Administrative Assistant (Senior AA) provides administrative support to a team of colleagues within a practice or client team. Support ranges from clerical and logistical matters to document production and the effective use of office applications.
The Senior AA responds promptly, thoughtfully, and effectively to changing work environments, changing priorities, and new situations. Additionally, the Senior AA possesses the skills and ability to communicate effectively and appropriately with internal resources, clients (where applicable), and other parties in a global and virtual working environment. The Senior AA is integral to the efficient workflow within the office environment.
Job Responsibilities
Prepares and produces high-quality client presentations and correspondence, graphic presentations, and other documents, including editing for grammar, punctuation, and building clarity
Calendar management of leaders and consultants
Schedules and coordinates meetings, including room reservations and food ordering/delivery
Acts as a key resource for the team, and takes initiative to seek answers, takes accountability, leverages network of resources to solve problems, and proactively cascades knowledge to peers
Strategic and problem solver, and establishes procedures that result in process improvements
Provides backup assistance to other administrative assistants
Submits printing requests for client meetings and other ad hoc requirements, ensures accuracy of printed materials before distribution
Uses internal travel tool to research travel options and books travel
Prepares and submits expense reports
Records timesheet to capture clients’ bill time accurately and submits according to corporate guidelines
Maintains a flexible approach and positive attitude toward assisting others; leads by example; coaches and mentors other administrative staff with aspirations to move to the Senior Admin level
Self-directed prioritization of work and projects; demonstrates measurable progress through open communication to leaders and team members consistently and with highest quality
Acts as a subject matter expert for internal tools and resources
Assists AOMs (Administration Operations Manager) with special workstreams and goals
Demonstrates leadership by contributing agenda topics and openly partici pating in meetings or other forums
Taking meeting minutes at both Internal and Client Meetings when required
Attends business town halls
Serves as an expert resource for Aon brand
Provides financial support of b udgeting and procurement as required by the business supported
Maintains files, databases, or SharePoint sites as appropriate
Learn best practices and business-specific products or services and terminology
Shares work with others and delegates
Seeks additional responsibilities

Skills and experience that will lead to success
Required Experience:
High school diploma or equivalent; associate or bachelor’s degree a plus
Minimum of 6 years of relevant experience
Advanced-level computer literacy in Microsoft Office Suite and other programs as applicable
Mail merge experience is must
Legal and actuarial background will be an asset to support clients’ portfolios
Displays excellent customer service skills and exceptional attention to detail
Superior writing skills, including the proper use of grammar, punctuation, spelling, and proofreading
Communicates effectively and professionally
Demonstrates strong organizational and management skills
Models professional appearance and demeanor in a business casual environment
Demonstrates discretion on highly confidential matters
