About the position
The Customer Representative will report to the Commercial Manager. This position interacts with customers to provide information in response to inquiries about products and services and to handle and resolve complaints. Keep records of customer interactions, process customer accounts and file documents. Follow communication procedures, guidelines and policies
Duties and Responsibilities
Receiving orders, processing these orders in the system.
Handling bags inventory.
Invoicing orders shipped
Handling customer’s contracts.
Clear chargebacks.
Find quotes for shipments.
Greeting visitors and directing them to the appropriate supervisors
Answering incoming calls
Entering and scanning in Maximo all Notre Dame and Royal Mill invoices
Distributing incoming mail for staff and sending mail and packages to US
Matching invoices to sales orders (quantity, product, terms, pick-up allowance, sold to and ship to)
Shipments and receipts on an “excel spreadsheet”
Maintaining all customers’ filing
Updating CHEP pallets account
Performing other various clerical duties
Required Skills and Qualifications
Familiarity with Microsoft Office (Excel, Outlook, Word)
Customer orientation and ability to adapt/respond to different types of characters
Ability to multi-task, prioritize, and manage time effectively
Strong phone contact handling skills and active listening
Excellent verbal and written skill (English and French)
Education or Work Experience
High school diploma or equivalent
Proven customer support experience or experience as a Client Service Representative
Health and Safety
Work in accordance with local/provincial legislation
Understands and is accountable for full compliance with safety and other EHS requirements
