Reporting to the Supervising Engineer, the Capital and Construction Assistant provides comprehensive administrative, clerical, and financial support to the capital and construction group. This includes processing work orders, managing purchase requests, supporting contract management, and other relevant tasks.
What You Get to Do:
- Prepare and post accounting entries for project transfers and end-of-month entries.
- Generate monthly reports in coordination with the Supervising Engineer.
- Track outstanding accounts and highlight delayed payments for necessary action.
- Document and maintain minutes of meetings, including summaries of pending tasks.
- Monitor group communications and ensure the appropriate personnel address requests.
- Manage bi-weekly time entries for the Engineering Department.
- Process purchase requests and liaise with the Purchasing department for order completion.
- Keep track of active and archived purchase orders, maintaining digital records.
- Prepare tender documentation and ensure timely receipt of tenders.
- Keep digital records on contractors, including safety qualifications, labor competency, and equipment details.
- Review contractor invoices for consistency with rates and purchase/tender documents, communicating with contractors as necessary.
- Assist Project Leaders throughout the work order process, from initiation to completion.
- Track customer contributions and follow up with letters or calls as needed.
- Provide financial data support, analyzing work order files.
- Monitor Key Performance Indicators for the Engineering group.
- Support regulatory requirements, such as the General Rate Application, upon request.
- Collaborate with Financial Services on capital work matters.
- Handle telephone reception for the Service Complex, managing calls and messages.
- Undertake other relevant tasks as needed.
What you Have:
- Minimum of 3 years of experience in an administrative or support role.
- Highschool Diploma or General Equivalency (G.E.D)
- Proficient in Microsoft Word, Excel, Outlook, and Adobe Pro.
- Familiarity with software like Kronos, Time and Attendance Application, Inspyrus, TalkDesk, and Customer Care and Billing would be an advantage.
- Experience with Oracle Suite.
- Familiarity with record-keeping practices
- Understanding of commonly accepted accounting principles and computerized accounting procedures.
- Strong prioritization skills with the ability to manage multiple projects.
- Excellent organizational and communication abilities.

Whitehorse is a designated community, and a comprehensive northern benefit package will be provided, including:
- An additional 5% of base salary (northern allowance)
- An additional $600 a month (northern allowance)
- Additional 5 days’ vacation
