Job Specifications

Title: Program Assistant

Salary: $40,000 – $45,000 per year

Hours: 37.5 hours per week including 2 evenings per week and 2 Saturday mornings

Reports to: Regional Program and Volunteer Coordinator West Region

Location: This position is on site at our Windsor Office – with support to Chatham-Kent, Sarnia-Lambton, Middlesex, Oxford, Huron-Perth

Duration: 12-month contract, with possibility of extension

Position Summary:

To work with the Regional Program and Volunteer Coordinator to implement programs and activities for children, youth and adults with Autism, and their families. To maintain the Anthony P. Toldo Multi-Purpose Experience. To work towards the goal of Autism Ontario, to create a supportive and inclusive Ontario for Autism, and build meaningful connections in the community through support, education, advocacy and awareness. The Program Assistant provides a superior/professional level of customer service to all internal and external stakeholders and the general public.

Key Responsibilities:

• Maintain visitor log and appointments, clean and organize materials for Toldo Multi-Sensory Experience
• Complete safety inspections, follow risk management procedures and maintain quality control procedures
• Maintain database operations as they pertain to programs (i.e.-recording participants, program payments, etc.)
• Research activities for in person and/or virtual programming
• Review participant registration information and contact parents as needed
• Lead and assist in various programs
• Preparation and purchase of materials within a pre-defined budget
• Liaise with community partners, members of the public, and other professionals
• Provide email and phone support to participants/families
• Strive to ensure a high level of quality of in person and/or virtual programming
• Assist in the development and review of program procedures
• Attend Regional committee meetings as needed
• Respond to first aid and emergency situations as required
• Ensure that program areas are kept safe, clean and organized
• Complete incident report forms when necessary
• Attend events and actively participate
• Ensure that program equipment and program facilities are well maintained
• Maintain positive communication with families regarding participant’s progress in programs
• Act as a role model for staff, volunteers, and participants, creating a positive team atmosphere
• Full availability for programs, training, staff socials, and meetings
• Receive calls and/or meet with families to provide support
• Educate families to other community services and programs
• Assist in supporting fundraising efforts to programs in partnership with Regional Staff
• Other duties as assigned

Qualifications and Skills:

• At least 1year post-secondary education in a related field or equivalent work experience
• Current Standard First Aid certification
• Current behaviour management certification (i.e. Safety Care, NVCI, etc.)
• Minimum 2 years’ experience with Autism Spectrum Disorder (ASD) and a sound understanding of issues faced by people with autism, intellectual or developmental disabilities
• Previous experience in program development or delivery in the field of ASD for children or adults
• Demonstrated leadership experience
• Ability to work independently, responsibly, and productively within the time allotted
• Demonstrated effectiveness in working within the voluntary/non-profit sector
• Strong written and verbal communication skills
• Excellent computer skills, including MS Office and databases
• Strong problem-solving capabilities
• Knowledge of child development
• Fluency in French is an asset
• Up-to-date police reference check
• Successful applicants will be required to show proof of full vaccination or a documented medical exemption upon hire.
• The role requires the ability to regularly work evenings and weekends.
• Must be flexible to work out of multiple locations within the assigned region and be able to travel regularly within the region.
• A valid driver’s license and access to a vehicle are required.
