Overview:
Avison Young is currently seeking an individual to fill an Operations Coordinator role; we are looking for someone who is reliable, timely and Professional. The successful candidate will need to be able to use proper judgment in planning and prioritizing the workload.
The successful candidate will need to be able to use proper judgment in planning and prioritizing the workload and must have a high level of interest and aptitude for sales. We are looking for individuals who are motivated and committed to becoming successful in a sales environment who have the work ethic to ensure a high level of productivity.
Responsibilities:
Coordinate the booking and set-up of virtual meetings, meeting rooms/training rooms, including meals and refreshments.
Coordinate offsite meetings for executives’, staff, and clients
Assist in event planning (catering, awards, gifts, transportation, logistics, and venue booking)
Maintain filing system for all client files
Maintaining appropriate stock levels of all supplies (ordering, filing the invoices once delivered, etc.)
Prepare large mail distributions using data merge
Process incoming/outgoing mail including international shipments
Order kitchen supplies and maintain inventory
General office duties as assigned including filing, photocopying, serving beverages, etc.
Assist with research overflow (pulling land titles, corporate searches, maps, and tax information)
Assist with graphics overflow (email marketing, brochures, websites, proposals, creating maps, InDesign, and social media )
Process credit card expense reports
Onboarding logistics for new employees and contractors (coordinating with IT, access cards, workstation, phones, and tours)
Maintain confidential and sensitive information
Deposit Cheques
Maintain listing directory using Buildout (creating and updating information, users, and listings)
Add and maintain contacts, lists, leads, and contact information in CRM database
Assist in Health and Safety Committee, taking minutes, address employee concerns, and take action to ensure safety standards are met
Create announcements, awards, schedules, and meeting minutes
Liaise with vendors and contractors for IT, signage, printing, office maintenance, shredding, photography, drone footage and phones
Qualifications:
Qualifications/Required Skills
Excellent interpersonal and customer service skills.
Ability to provide essential services to the office in a timely and professional manner.
To work efficiently independently or as part of a team.
Excellent knowledge of Microsoft office suite (Word, Outlook etc.)
Strong typography skills
Excellent verbal and written communication, time management, troubleshooting, analytical, and interpersonal skills
Diligence and commitment to Quality Assurance of your own work
Technical Requirements
Adobe Creative Suite – InDesign, Photoshop, Illustrator, Rush
MS 365 – Word, Excel, PowerPoint, Outlook
