Your primary responsibilities will include:
- Working closely with Operations Committee on strategic initiatives & daily operations
- Overseeing special projects as requested by the Operations Committee
- Maintaining positive working relationships with employees, Managers, and Partners while helping to champion change within the Firm
- Acting as the main contact for third party service providers, including but not limited to, landlord, contractors, office cleaning, security, photocopiers, printers, DASC, etc.
- Assisting with facilities & maintenance requests such as furniture moves, installs, purchases, warranty claims, install issues
- Completing project work, managing transition updates, process/system streamlining & implementation
- Maintaining workstation booking system
- Performing back-up function for administrative staff during vacation or other absences to ensure that administrative support is provided on an ongoing basis & succession plans are in place
- Coordinating yearly membership renewals & sponsorships
- Maintaining inventory & organizing supplies & storage areas
- Coordinating Partner and staff functions as required
- Responding to ad hoc requests from Partners/Managers
- Scheduling reception back up/coverage, as required
- Other duties as required.
A successful candidate will have:
- College diploma or equivalent 2+ years’ leadership work experience
- Experience in a professional services environment is an asset
- Keen attention to detail
- Advanced proficiency with various technologies, including Microsoft Office (Word, Excel, Outlook, Teams), online portals, ticket systems, time and billing systems, etc.
- Outstanding interpersonal and communication skills (written and verbal)
- Self motivation with an ability to work well independently and as part of a team
- Strong organizational and time management skills with an ability to prioritize competing deadlines
- Experience dealing with sensitive and confidential information
