Belcan est présentement à la recherche d’une Adjoint(e) administrative senior pour supporter la Vice-présidente Service-client pour notre client situé à Longueil. Le candidat idéal fournira un soutien administratif à l’équipe et coordonnera les activités de l’équipe et assurerez la liaison avec les différents directeurs.

Responsabilités spécifiques du poste:
À titre d’Adjointe administrative senior vous devrez:
Gérer la logistique des voyages;
Préparer les comptes de dépenses;
Assurer la mise à jour continue de l”agenda;
Être le point de contact principal et de liaison pour les contacts internes et externes;
Assurer le rôle de «gardien» et de liaison pour assurer une communication fluide entre la direction, les subordonnés directs et les collègues;
Travailler en étroite collaboration avec les directeurs pour les tenir bien informés des engagements et des responsabilités à venir;
Coordonner les réunions/appels conférences et assurer la préparation des documents à l”appui;
Prendre les actions lors de rencontres et en assurer le suivi;
Créer et produire des documents, des rapports et des présentations complexes;
Planifier des rendez-vous, rédiger la correspondance et faire la traduction au besoin;
Travailler en étroite collaboration avec les subordonnés directs ainsi qu”avec les assistants des autres exécutifs;
Planifier, exécuter et suivre des projets spéciaux
Maintenir à jour/organiser les dossiers et le système de classement;
Assurer la transmission des plans d”action ou d”information aux personnes appropriées en l”absence du responsable des Ventes Mondiales;
Effectuer la coordination de projets, suivi des dossiers, archivage;
Travailler en étroite collaboration avec les autres Adjoints administratifs dans une culture de respect mutuel afin de partager la charge de travail et prendre en charge l”organisation d”activités spécifiques (par exemple : activités hors-site).
Le poste peut parfois demander de travailler à l”extérieur des heures normales.
Exigences requises:
DEC en bureautique avec un minimum de 10 ans d”expérience
Domaine d”étude : Administration, Administration Internationale, Administration/ Commerce, Linguistique, Relations industrielles, Relations publiques, Ressources humaines, Secrétariat, Traduction, Autre
Expérience en grande entreprise (obligatoire);
Bilinguisme (français et anglais);
Excellente communication verbale et écrite;
Adaptabilité et flexibilité
Bon sens de l”organisation et de l”initiative;
Grand souci du détail;
Bonnes connaissances de la suite Microsoft Office

Belcan is looking for a Senior Administrative Assistant to support the Customer Service Vice President for our client located in Longueuil. The ideal candidate will support the Vice-President of Customer Service and will act as a liaison agent with direct reports.
Specific responsibilities of position:
As the Senior Administrative Assistant to the Vice-President you will:
Manage the customer visits;
Manage travel arrangements;
Prepare and follow up on expense reports;
Maintain and coordinate the agenda;
Serve as primary point of contact and liaison for internal and external contacts;
Provide ‘gate keeper’ and ‘gateway’ role to provide bridge for smooth communication between executive, direct reports and colleagues;
Work closely with executive to keep them well informed of upcoming commitments and responsibilities;
Coordinate meetings/conference calls and prepare related documents to this effect;
Take note of actions plans during meetings and ensure follow-up;
Design and produce complex documents, reports, and presentations;
Redact correspondence and do translations (if required);
Work closely with direct reports and the other assistant to executives;
Plan, execute, monitor special projects;
Maintain and organize files and filing systems;
Ensure the transmission of action plans and/or information to the appropriate delegates in the absence of the Head of Global Sales;
Coordinate projects, follow-ups and archiving;
Work in close collaboration with other Administrative Assistants, in relationships that promote mutual respect; in order to share the workload, and ensure the responsibility of organizing specific activities (e.g. off-site activities).
The position may require working outside of standard working hours
Qualifications required:
College degree with minimum 10 years’ experience;
Field of studies : Administration, International Administration, Administration/Commerce, Linguistics, Industrial Relations, Public Relations, Human Resources, Secretarial, Translation, Other
Experience in large companies (mandatory);
Bilingualism (French and English);
Excellent verbal and written communication;
Adaptability and flexibility;
Good organizational skills and initiative;
Very good attention to detail
Good knowledge of Microsoft Office.
