Buyatab is looking for a self-starter to contribute to our office management efforts! The Office Coordinator will work cross departmentally to create a fantastic office environment, optimize our flexible workplace, and create a positive interaction with visitors and customers. This role will require flexibility, organization, and strong interpersonal skills to manage a highly functional office environment for our team.
What you’ll get to do:
Manage office perks such as team events, organizing lunches for company events and meetings, and assist with any of our beloved office dogs
Organize and keep tidy all general areas of the office including: the kitchen, storage rooms and the back-printer room.
Carry out regular checks of inventory and building/office condition to identify any areas where improvement is needed
Manage office cleaners and maintenance, including organizing deep office cleans and resolving issues with the building and facilities, such as needed maintenance or emergency repairs
Assist senior leadership team with:
organizing and managing meetings
planning travel, flights and hotel bookings
regular ad-hoc requests
Act as on-site security liaison, greeting and checking visitors in/out
Be first point of contact person for security company
Create and update employee alarm codes
Organize office desk layout, desk moves, and any larger office moves or renovations required
Maintain inventory and distribute electronic equipment to team members
Ship equipment to team members and parent company
Maintain the office and relevant people and culture budgets
Lead or take a highly active role in the Social Committee, as well as running errands and doing necessary shopping
Organize and file incoming mail and package deliveries into the office
Set up in-office workstations
Update and enforce COVID-19 protocols based on provincial health orders
Assist People & Culture as needed (screening, employer branding initiatives etc.)

A fully functional office at all times including consistently stocked coffee, snacks, office supplies, etc., as determined by the People & Culture or Management team
Support strong office organization and administration, including reception check-ins, mail delivery, equipment coordination etc.
You are someone who:

Completed a Post Secondary education in Arts, Communication, Business or any related disciplines
Has excellent organizational skills with a demonstrated ability to prioritize work and manage competing priorities
Has excellent communication skills in all mediums, with experience creating content to be read by variety of audiences an added bonus
Is proactive with innovative ideas to inspire a positive experience for our team, our guests and our customers
Has strong interpersonal skills and experience building internal and external relationships
Is a self-motivated, team player who takes initiative and can work independently
Is committed to doing great work and providing stellar customer service
Has working knowledge in Adobe creative suite an asset
Is able to work in the office full time
