Key Responsibilities & Activities

• Provide variety of administrative and support tasks, including managing client files, processing and tracking administrative transactions, and coordinating/preparing for client meetings;
• Lead liaison with company’s back office operations and keep up-to-date on updated documentation processes and timelines;
• Prepare client specific reports, including gathering and organizing relevant information and materials;
• Maintain accurate and up-to-date client records, including financial and personal information via back office and client relationship management systems (Salesforce);
• Uphold company policies and regulations, including those related to client privacy and confidentiality;
• Provide exceptional customer service to clients, centers of influences and other business partners by responding to inquiries and requests in a timely and professional manner;
• Submit & monitor business and Business Development Allowance (BDA) expenses;
• Perform other general administrative duties and assist with special projects as required;
• Attend client and non-client events (if applicable);
• There may be other opportunities available in the future if the candidate’s interests and expanding skills set align with team objectives.

Skills & Qualifications

• 10+ years of financial services administration & operations experience;
• Strong organizational, priority management skills, and ability to meet deadlines;
• Excellent teamwork skills complemented by the ability to work well independently;
• Attention to detail and accuracy in work;
• Demonstrate a high level of work ethic;
• Ability to handle sensitive and confidential information with discretion;
• Excellent written, verbal and interpersonal communication skills;
• Strong computer skills, proficiency with Microsoft Office Suite of programs;
• Prior experience with Dataphile and Salesforce is preferred;
• IIROC licensing not necessary but preferred.
