Job Description

As an Executive Assistant, you will be supporting the Chairman & CEO to help facilitate the day-to-day functions of their role and provide administrative support.

What You’ll Do:

• Provide direct administrative and key support to the Chairman & CEO including calendar management, drafting correspondence, and preparing travel arrangements
• Arrange travel and hotel reservations for both international and domestic travel to ensure time and cost-effectiveness
• Coordinate logistics of meetings, seminars, workshops, special projects, and events
• Review documents, reports, and correspondence prepared for executive signatures for format, content, grammar, spelling and make edits as vital
• Receive, screen, refer and redirect all inbound telephone calls, e-mails, and visitors as required
• Receive incoming mail, taking notice of required actions and due dates to ensure timeliness of response and required actions
• Complete expense reports, pay invoices, and other related duties
• Prepare and review presentations
• Present a positive and professional image to all visitors, suppliers, inquiries, and other persons

Let’s Talk About You:

• Demonstrated ability in a Senior Administrative role (Consumer Goods, Fashion or Media industries will be advantageous)
• Highly organized with the ability to prioritize and to lead multiple tasks with a sense of urgency
• Experience managing and navigating through change, taking initiative to work through the unknown, and demonstrating your skills to ‘figure things out’
• Keen attention to detail and a “right first time” approach
• Ability to maintain privacy and confidential information is essential
• Ability to organize moderate amounts of business information and develop it into cohesive, professional reports and presentations
• Strong independent judgment and a high degree of interpersonal effectiveness to be able to deal with partners across various levels both internally and externally
• Demonstrated ability to work in a team environment keeping others informed and anticipating needs is essential
• Strong scheduling and project management skills
• Willing to work flexible hours to meet challenging and changing deadlines
