Job Description
Brampton Family Health Team, the Medical Office Receptionist will work collaboratively to maintain physician-patient flow and assuming other responsibilities consistent with the job classification. This role functions collaboratively with patients, physicians, and the interdisciplinary team to support the Vision, Mission, and Core Values of BEMG and CBFHT.
Major Duties and Responsibilities: Job Title: Medical Office Receptionist – Hours: Monday-Thursday 11:00pm to 7:00pm and Saturdays 9:00am to 12:30pm. Must be flexible to cover day schedules if required, vacation and sick day coverage.

Summary
As an integral member of the Brampton East Medical Group and the Central
· Greet incoming patients and ensure patient demographics are current in the computer for every visit (i.e. health card number, address, etc.
· Notify patients of any changes to scheduled appointments. Phone messages returned to the patient.). Check-In patients via EMR when a patient has arrived
· Answer very busy incoming phone system, cheerfully, promptly, and courteously
· Schedule appointments for patients according to physician guidelines in a timely manner
· Efficiently scan and assign faxes via the EMR
· Triage patients requesting information on test results, prescriptions, clinic information, or diagnosis to the appropriate team member
· Efficiently schedule a same day/next day or acute appointments
· Collect payments and issue receipts for any forms completed by a physician (cash or cheque only)
· Initiate daily closing procedures (Log out the phone, reception doors, lock doors hallway, etc).
· Perform routine troubleshooting
· Be familiar with the operation of all various equipment within the clinic: photocopier, fax machine, scanner, and multi-line telephone system
· Maintain accurately and concise documentation of all patient encounters in a timely manner, including telephone conversations, conveying of test results, and office encounters within the computerized EMR system.
· Adhere to strict privacy and confidentiality protocols
· Utilize universal precautions to maintain a clean and safe work environment
· Handle and dispose of hazardous and infectious wastes properly according to infection control guidelines
· Maintain flexibility in covering for other support staff
Communication/Procedures:
· Triage patient telephone calls and questions using problem-solving skills within the scope of practice
· Listen and respond appropriately when interacting with patients and their families
· Demonstrate openness to accept changes that support the quality of care
· Develop and maintain relationships within the health care team; physicians, interdisciplinary health providers, administrative team, etc.
· Triage all incoming and outgoing documents ensuring date stamped and scanned as directed by the physician
· Participate in team-building events and quality improvement initiatives
· Other duties as assigned

Mental Effort:
· Mental and visual concentration during computer work to ensure accuracy in data entry and editing.
· Listening and mental attentiveness in dealing with patient queries.
· Mental effort required in multi-tasking and handling interruptions that require constant refocusing.
Physical Effort:
· Escorting patients in a timely and efficient manner.
· Lifting of boxes as required from time to time.
Type of Supervision and/or Assistance Given:
· The Medical Office Assistant reports to Management for office operations
· Works under general instructions to prioritize and complete assigned tasks.
· The site physicians and other Team members will provide professional guidance and support.
Qualifications:
· Proficient with an Oscar EMR
· Strong Time- Management, Organizational Skills
· Ability to multi-task in a fast pace work setting
· Work within a team setting of interdisciplinary health care providers
· Knowledge and adherence to the Personal Health Information Privacy Act
Education:
· Medical Office Administration Certification
Experience:
· Minimum (5) years experience working in a medical office
