Position Summary
The Accounts Payable Clerk will report to the Vice President, Accounting and will be responsible for processing project-related invoices, providing administrative support to the Accounting team and assisting Project Accountants with their duties, as required. The ideal candidate must be well organized, detailed oriented and hard-working. They also have to feel comfortable multi-tasking in a fast-paced environment.
Key responsibilities of the position include:
Monitor accounting email inbox and regular mail for incoming invoices
Sort invoices by project and place them in the relevant folder for coding
Input all the coded invoices into Jonas and Simply Accounting, as applicable
Scan and file all past and future invoices that have been processed and paid
Update the entity master list and partnership corporate binders, when required
Complete banking forms required to open new accounts or update existing ones
Print cheques, prepare cheque reconciliation packages and generate cheque logs
Assist Project Accountants with printing of monthly budget review meeting packages
Assist Corporate Accountant with processing/reconciliation of department credit cards
Assist with the preparation of government forms and renewing partnership documents
Assist Sr. Vice President, Finance with preparation of quarterly Partner Report packages
Assist Project Accountants with financial reporting tasks such as completion of bank and sales model reconciliations, and preparation of month-end reports for completed projects
Support the team in various ad-hoc projects and analysis, as required
Candidate Qualifications:
Highly proficient in Microsoft Excel and Word
At least two years of experience in a similar role
Flexibility to work outside of core hours when business needs dictate
Self-starter attitude with an ability to work in a fast-paced environment
Highest degree of integrity, honesty and commitment to professionalism
University education, with specialty in Accounting or Business Administration
Strong communication skills with an ability to present information in a clear manner
Excellent attention to detail and strong organizational skills, with an ability to prioritize and multi-task to meet time sensitive deadlines
