Job Description
The City of Merritt has a temporary full-time term opportunity for a Clerk Typist to join the team in a one-year term to cover a leave of absence.
The Clerk Typist contributes to the success of the City of Merritt by providing clerical and administrative support services for various activities relating to recruitment, training, engagement, occupational health and safety, and Public Works.
In this role, you will provide internal and external customer service and coordinate with other staff and leaders throughout the organization. You will type and prepare documents, record meeting minutes, file and liaise between departments and answer phones, respond to inquiries and escalate issues to the appropriate person. You will also coordinate with contractors, training providers, the public and other stakeholders to support implementing the department’s goals and objectives.
During this term, you will be the main point of contact with others and as a result, you will have an immediate, distinct effect on relationships with all customers. Your approach is welcoming and friendly, as well as attentive and efficient.
You foresee the needs of multiple internal and external stakeholders, can switch gears quickly and make sense of ambiguous information, thinking of the big picture while paying attention to the details and interconnectedness of systems within the organization.
Typical responsibilities are:
Provide general administrative and clerical support for HR, health and safety and Public Works special projects and additional special projects as assigned (e.g. communications assistance and records management).
Order supplies, swag, office furniture, business cards, etc., ensuring good value.
Answer phones and inquiries from the public, answering general questions regarding Public Works and redirecting calls.
Supporting DATS implementation and maintenance by gathering documents as required, uploading, making updates, entering data, participating in regular DATS training, and providing basic assistance to others using the system.
Compiling information for safety programs and standards, job safety analysis, researching, and liaising with consultants to gather information to prepare documents and provide information to contractors.
Provide support to management to ensure timely completion of routine tasks including (but not limited to) health and safety inspections, etc.
Assist in orienting new staff ensuring they receive a general introduction to the administrative OH&S program.
Participate in coordination and running staff events to foster widespread participation, including liaising with vendors and other service providers, and obtaining quotes and approvals as required.
Booking meetings as assigned, liaising with participants, coordinating schedules and confirming times.
Preparing materials and supplies to achieve organizational goals.
Assisting in recruitment activities by assisting with scheduling job interviews, contacting applicants, compiling materials, maintaining digital and print files and materials as required, and filing resumes received from various job boards for review. Liaising with managers as required.
Setting up and maintaining systems such as – filing systems, systems to notify and support recurring events such as probationary periods or special events related to staff (e.g. RCMP week, public works week, admin professional day, anti-bullying day, pride, etc).
Participate in committees including but not limited to wellness, JOHSC etc as assigned.
May provide coverage in responding to BCOne Calls as per Public Works guidelines.
Assist with implementing strategies for local employment including liaising with local organizations such as WorkBC and NVIT, job fairs and so on.
Assist in posting information, gathering data and implementing engagement initiatives.
Other related duties as assigned.
Qualifications
A diploma in HR assistant, legal administrative assistant, health and safety or a related field and related experience (minimum one year). An equivalent combination of education and experience may be considered.
Strong typing skills with working knowledge of the Microsoft Office suite, including Outlook, SharePoint, Word and Excel, and the ability to adapt to other technologies.
Superior organizational, time management and prioritization skills.
Knowledge of the policies and procedures of the City of Merritt is an asset.
Excellent interpersonal communication skills with the ability to establish and foster supportive working relationships and provide excellent customer service.
Demonstrated professionalism and accountability.
Ability to research, analyze and problem-solve effectively.
