Who You Are

Operational Effectiveness

• Office reception back up – Ensure external clients are welcomed and properly directed, including managing incoming phone calls and email requests
• Internal office liaison with our internal employees including onboarding & offboarding of employees and contractors, including related IT set up and notifications
• Liaise with key suppliers/vendors
• Proactively review and respond to office operational needs – adjust services as necessary, and ensure vendor contracts are organized and up to date
• Maintain appropriate inventory of stationery and office supplies

IT office liaison

• Day-to-day troubleshooting of office-wide digital/web-based tools and applications such a softphone, Microsoft TEAMSUpdate internal process documentation for the Business Services team.
• Coordinate and reconcile invoices for payment with Accounts Payable

Facilities Management

This is a Fully Onsite working arrangement at our Vancouver DT location.

What You Bring & Bonus Skills And Experience

• 1+ year of Administration/Receptionist experience
• Excellent interpersonal and communication skills, ability to work with a diverse group at all levels of the organization;
• Strong attention to detail, highly organized and dependable, with strong ability to prioritize and follow-up, including being flexible and adapt to work effectively in changing situations
• Collaborative and able to roll-up your sleeve
• Exercise due care and strive for excellence
• Great teammate and ambassador for process improvements and sharing of best practices.

What Success Looks Like

• Ensure appropriate upkeep of common areas and office equipment
• Proactively monitor all property and facility related items.
• Act as the first point of escalation for all reported issues.
• Acts as liaison with Landlord and point person for facilities cleaning & maintenance; accountable to share building announcements
• Assist with workplace space allocation, including regular updates of floor plans and seating assignment
• Contribute to the organization of office-wide events
• Ad hoc projects as required
