POSITION SUMMARY: Ensures the smooth operation of Agency programs through scheduling of all full-time and part-time employees while covering vacancies and absences in a timely manner.
DUTIES AND RESPONSIBILITIES:
· Ensures adequate and appropriate staffing as needed to cover all scheduled shifts, vacancies, absences, trainings, accommodations etc. for all employees
· Works with supervisors to assist with coverage for current shifts due to staff meetings, training, etc.
· Provides solutions to planned and unplanned scheduling conflicts as they arise
· Utilizes scheduling system to maintain and ensure master schedules are in place for all locations
· Ensures staff schedules are complete and ready for supervisors to post as per Collective Agreement
· Ensures accurate coding of all shifts as per CLCY policies, ensuring location schedules are ready for review by Supervisor and Mangers, before final payroll approvals are completed
· Fills shifts based on monthly availability forms
· Maintains contact and knowledge of status, qualifications, and availability of all staff
· Enter approved vacation dates and coverage needs into scheduling system with accuracy
· Maintains and tracks scheduling data, such as call-in trends, absence tracking, etc
· Completes reports and compiles statistics, as required
· Develops and utilizes appropriate forms of communication with all staff/departments
· Maintains records of contact for all scheduling calls and changes while adhering to the Collective Agreement
· Acts as the point of contact and liaises with temporary agencies relating to staffing needs
· Ensures compliance with Employment Standards Act, Human Rights Code, the Collective Agreement, MCCSS etc.
· Identifies high risk situations with regards to scheduling
· Establishes a positive, healthy and safe work environment, in accordance with appropriate legislation and regulations
· Represents the Agency in a positive manner, ensuring confidentiality is always maintained
· Completes other duties as required/assigned
QUALIFICATIONS:
· Completion of post-secondary education
· Minimum of 2 years’ experience with administrative duties and/or scheduling experience
· Ability to follow all relevant legislation and adhere to all agency policies and procedures, while understanding the importance of ensuring the dignity, safety and wellbeing of staff and the people supported
· Must have weekend availability
· Knowledge of relevant legislation i.e., Employment Standards Act, Occupational Health and Safety Act, Ontario Human Rights Code
· Knowledge of Unionized environments, Collective Agreement language interpretation and application
· Ability to develop and maintain professional relationships within the organization while ensuring the strictest of confidentiality
· Highly developed interpersonal skills with the proven ability to work effectively with all levels of staff, and external clients and stakeholders.
· Excellent organizational, time-management, oral and written communication skills
· Ability to work under pressure, problem-solve and develop strategies
· Ability to work independently and/or in a group and show initiative
· Excellent computer skills including Microsoft office suite and scheduling systems
· Satisfactory Vulnerable sector screening (within 6 months)
