Key Responsibilities and Accountabilities:
Bank/Cash
• Update daily cash position report and send it to Management.
• Obtain bank remittance report.
• Update bank statements for each bank account and bank account reconciliations on a weekly basis.
• Enter transactions of bank statements in SAP and provide it to AR for cash application.
• Clear cheques in SAP and ensure postings in bank reconciliation are completed.
• Deposit cheques in bank and record accordingly with a receipt of deposit
Accounts Receivables
• Work with AR internally and with 3rd Party for cash application on a month end basis. Mentor and monitor AR function within.
• Report on accounts receivables
• Set up and update customer rebates in SAP system.
• Set up and manage customer credit limits.
• Process credit notes/payments to customers
• Set up and update commission rates in SAP.
• Maintain broker and customer agreements.
• Monthly inter-company clearing
• Prepare auditing schedules at year-end.
• Issue credit memos for deductions with backup
• Obtain bank remittances and support materials.
• Prepare customer AR statements as needed.
Tax
• Prepare and file HST for Canadian Corporation monthly.
• Prepare and file sales tax on a quarterly basis.
• Prepare tax schedules in the US, required by tax accountants on an annual basis.
Monthly Closing
• Prepare prepaid expense reconciliations and enter SAP.
• Prepare accrued expense reconciliations and enter SAP. Accruals to be done monthly.
• Reconcile with payroll expenses and enter SAP for actual and accrual payroll.
• Record interest expense recharge to Holding company and clear intercompany transactions.
• Prepare expense breakdown for each entity.
• Prepare freight invoice report for services.
• Prepare car lease expense and enter SAP.
• Record investment income
• Prepare SAP reports and send them to AP Team to prepare for accrual of duty/freight.
• Prepare depreciation expense reconciliations and enter SAP.
• Process SAP monthly closing process, on the last working day of the month.
• Run SAP month end report after closing is completed by EOD of the month.
• Send inventory balance report and sales data to Data Coordinator • Prepare Monthly Information Statement (MIS)– shared with Controller.
• Obtain variance report of IT expenses with reasons.
• Obtain variance report of Warehouse expenses with reasons.
• Prepare a trial balance, create a P&L account, and compare it monthly.
• Prepare Management MIS for Holdco review every month.
Audit
• Assist in preparing for audit requirements, Schedules, and control account reconciliation. Coordinate Audit closure for each year.
• Ensure Filings are up to date and in active status for all corporations in the group.
• Participate in, build, and maintain positive engagement in the Company’s culture.
• Participate in the Company performance planning and objective setting process.
• Other duties as assigned.
