COWRKS Looking for Administrative Assistant Full time (Remote) at Canada Full Time

We are looking for a pro-active, motivated, and highly organized professional to function as an Administrative Assistant. The chosen candidate will join our team of highly skilled Admins with a targeted career path within the Administrative department. This will be a hybrid role.

Responsibilities

• Maintain the daily Out Report
• Ensure office supplies and printer inks are stocked
• Assist in prioritizing various special meetings, team activities, merchandise distribution, and team special events (shared responsibility)
• Coordinate & maintain new hire questionnaire surveys, emails, and swag distribution
• Assist with RTO procedures to welcome employees back to campus (shared responsibility)
• Perform regular walkthroughs of the team space/conference rooms to ensure our facilities are in good order and any needed maintenance tickets are submitted
• Ensure that purchase requests from the various teams are processed efficiently;
• Assist Facilities and IT with coordinating smaller sub-team moves
• Act as the backup contact for building maintenance, beautification, and facilities requests
• Pick up/ship mail, supplies and/or deliveries from shipping department, vendors or stores, and deliver/set up at events, meetings, and team areas.
• Coordinate swag giveaways, birthdays, anniversaries, & team gift requests (shared responsibility)
• Maintain monthly team raffle contest and keep team lists and information current
• Assist planning meetings, including calls across multiple time zones (shared responsibility)
• Build and coordinate initiatives to maintain a high level of employee experience within the studio.
• Handle other duties as needed

Requirements

• Ability to lift items weighing 25+ lbs.
• Experience or related experience in an Administrative Role
• Proficient in Microsoft Office applications: Word, Excel, PowerPoint, and Outlook
• Outstanding interpersonal and time-management abilities
• Self-starting personality with the ability to balance multiple projects simultaneously
• Outstanding attention to detail as well as ability to see the big picture
• Ability to act with integrity and discretion when handling confidential matters
• Excellent interpersonal skills

Pluses

• A passion for Administration and Overwatch
• Skilled with Adobe programs (i.e. InDesign, Photoshop, Illustrator)
• Project management or event planning experience
