Job Description
WHAT’S THE JOB?
Reporting directly to the Resident District Manager, the Office Manager plans, organizes and evaluates the operation of financial and accounting departments. They develop and implement the financial policies and systems of the operation. They prepare various financial reports for senior management and oversee an administrative support team.
Office Managers perform some, or all of the following duties:
Prepare or co-ordinate financial statements, summaries and other cost-benefit analyses and financial management reports
Co-ordinate the financial planning and budgeting process as directed by the RDM
Review Daily sales by location and report issues to RDM
Evaluate financial reporting systems/procedures and make recommendations for changes.
Retrieve all invoices for franchise portals as required; ensure timely submission and process per Dana standards
Complete and process internal paperwork for HR (job postings on Smart Recruiters, new hire checklists, staff orientation)
Complete weekly payroll
Create and email client catering invoices
Create purchase orders & inform vendors of correct invoicing process
Track weekly purchases and cross reference for verification against NetSuite actual results
Work directly RDM to understand financials and deliver actions to achieve success
Send out monthly client financial statements in conjunction with RDM oversight
Track all Food Safety and Health & Safety audit results for client view.
Participate in monthly JHSC meetings, take notes & post minutes
Maintain a Campus-wide master retail price list
Create bar-codes for Dana in-house created products as required.
Recruit, organize, train and manage accounting/office staff
Develop and motivate staff
Act as a liaison between each unit under the campus umbrella
Ensure all intra-unit transfers are completed weekly
Notify and report to senior management any concerning trends
Responsible for dealing with any issues related to Netsuite, Cash Reconciliation and Vendor queries regarding Accounts Payables.
Managing Accounts Receivable and all that entails
Problem solving and staying informed of updates to Dana Hospitality/Dexterra financial policies and procedures
Responsible for payroll administration/functions as required.
Oversee all required components of cash management including developing an auditing scheduled for the campus
Create Meal Plan invoices monthly relating declining balance usage.
Manages and tracks accounts payables and receivables
Assist with catering and general location inquires as required
May perform other duties as required by management
Qualifications
WHO ARE WE LOOKING FOR?
Business Administration Diploma (concentration in Finance),
2-5 years experience in accounting/finance,
strong organizational skills, attention to detail, strong knowledge of Accounting systems, Microsoft Excel and Word,
strong analytical skills
Reach and lift between 0-10 pounds from floor to shoulder height
Frequent sitting at a desk
