Schedule: Monday – Friday (9am – 4:30pm)

Hours: 35 hrs./week

Wage: $28.32 – $32.51/hour (Starting at $28.32/hr)

Grid: 12

Opportunity

Oversees the day-to-day activities of the programs within Refugee & Specialized Programs portfolio. Coordinates all client referrals, program promotion and outreach, professional development, fieldtrips, group workshops and other program activities. Supports the Manager in maintaining client case management levels. Supports the collection and maintenance of program data for reporting and program evaluation. Assists program staff with the efficient delivery of program by providing the necessary support. Participates in program and tools development, policies and procedures formulation and program evaluation.

The Key Areas of Responsibility are:

• Receive and coordinate all external and internal client referrals for all programs under the Refugee & Specialized Programs portfolio and distribute them to appropriate staff by determining case load capacity.
• Identifies when referrals to other programs and services are appropriate and provides follow up to all referrals to ensure support as needed for the referred client.
• Maintain records and monitor waitlists to identify and make recommendations to the Manager of waitlists and trends of emerging client referrals.
• Work with program staff, MAP Alliance and RAP to coordinate and maintain efficient flow of client referrals.
• Oversee the day-to-day operation of the program(s) by coordinating necessary facilities (office space sharing) technology and equipment (CRM, TEAMS, office supplies & resource manuals);
• Provide support and input for program guidelines and policies (such as mandatory training attendance), and program standards adherence (such as PQI);
• Coordinate the activities of program(s) and set priorities.
• Supports with the invoicing and reconciliation of program expenses.
• Coordinate, maintain and compile related data records and statistics for input to quarterly and annual reports and program evaluation for submission to the Manager.
• In consultation with the Manager, coordinate monthly program meetings to review the needs of the program, track program deliverables, compile and present data and stats on achieved targets.
• Coordinate all program events including fieldtrips and Professional Development sessions.
• Represent the organization or program(s) in external meetings/events where necessary.
• Share and collect mutually relevant information with internal departments and community partners.
• Promote public awareness of and support for the programs using promotional materials, conducting marketing campaigns, coordinating program wide strategic outreach and attend community events.
• Research and compile a comprehensive database of community resource networks.
• Provide input for program capacity building and improvements.
• Support the Manager in onboarding new staff to program, database tracking and tools.
• To complete other related tasks as assigned by the Manager.
• To follow the Policies, Procedures and Practices of the Society.

Qualified Candidates will possess:

• Diploma in a related human/social service-related field.
• Minimum of (2) years recent related experience; or an equivalent combination of education, training & experience in Program/Project Coordination.
• Understanding of migration and the settlement experience of refugees and immigrants.
• Deep understanding of equity, diversity and cultural safety.
• Demonstrated knowledge of case management frameworks and the Settlement sector.
• Demonstrated ability for active listening and building trust and rapport with all stakeholders including coworkers, MAP Alliance members, clients and community.
• Proven track record of coordinating with multiple stakeholders to catalyze collaboration.
• Demonstrated ability to work successfully and cooperatively on inter-agency project initiatives.
• Sound knowledge of community resources and ability to network and build partnerships.
• Excellent interpersonal and communication skills.
• Strong analytical and research skills.
• Ability to work with minimal supervision and meet deadlines.
• Experience with outreach and community engagement is an asset.
• Demonstrated ability to work independently; take initiative, problem solve and work as part of a team.
• Fluency in reading, writing, and speaking English.
• Fluency in reading, speaking, and writing one of the RISE contracted languages which are Arabic, Burmese, Dari, French, Karen, Pashto, and Swahili is an asset.
• Proficiency with MS Suite, including Word, Excel, Outlook, Power Point and Teams.
• Experience with CRM an asset.
• Ability to multitask and adapt to emerging needs.
• Excellent organizational, coordination and time management skills.
• Working knowledge of standard office equipment and software applications.
